Responsibilities

  • Advise students and graduate programs about committee composition, deadlines, defense requirements, electronic thesis and dissertation submissions, and automated processes. Advise and provide technical assistance to students and faculty to facilitate degree certification processes. Maintain current knowledge of improvements in technology development and maintenance processes.

  • Maintain regular delivery of electronic theses and dissertations to the Texas Libraries, the Texas Digital Library, and UMI. May prepare statistical reports on University graduates.

  • Performs related duties as assigned.

  • Process doctoral candidacy applications and petitions for change in doctoral committee. Receive and process doctoral dissertations and paperwork.

  • Process master's graduation applications and associated paperwork for degree certification. Review master's theses, reports and programs of work to ensure that Graduate School Catalog requirements for graduation are satisfied.

  • Process requests for master's transfer coursework, petitions to allow coursework older than six years on a master's program of work, and petitions for change in master's committees.

  • Provides a variety of specialized functions, such as developing and maintaining a computerized degree check system, and serving as a primary resource to other campus offices regarding degree requirements and college policies. Administer training workshops for graduating students.

  • Receives and processes applications for graduation. Consults with faculty regarding acceptable course substitutions for a particular degree.

  • Responsible for ensuring the accuracy and adequacy of degree plans by reviewing the required coursework for a particular degree as well as the proper number of semester hours.

  • Reviews and compares students' completed course credits to approved degree requirements and notifies students of coursework which must be completed for graduation.

Required Qualifications

Bachelor's degree with 1 year of experience. Minimum of three years of professional experience in a student services position in an academic setting. Cultural competence and demonstrated effectiveness working with student populations. Experience using Microsoft Office software (Word, Excel) and email. Proven ability to develop new technical skills as technology evolves. Demonstrated ability to communicate extensively via telephone, email and face-to-face. Demonstrated ability to maintain professional demeanor, including business attire as needed. Demonstrated organizational skills. Demonstrated ability to take instruction, work as a team member and independently. Excellent written and verbal communication skills. Excellent interpersonal skills and ability to positively interact and clearly communicate with supervisor, co-workers, staff and students. Strong attendance record. Ability to take supervision. Skilled at anticipating changing priorities, working in changing environments, providing strong customer service skills, and responding well to feedback.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with University mainframe (DEFINE, NRRECS), Macintosh and PC platforms. Experience with ITS thesis and dissertation templates. Experience with PDF converters and readers. Experience with data downloads and conversion. Demonstrated ability to interact in a professional manner with University faculty, staff, and students. Experience in academic advising. Experience working with Electronic Theses and Dissertations. Demonstrated organizational skills. Familiarity with student services and graduate programs at UT Austin. Knowledgeable of university resources, policies, and procedures.

Salary Range

$44,000 + depending on qualifications

Employment Eligibility:

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
