Job Summary and Responsibilities/Duties

Provides expertise in both technical and functional direction in the development, and maintenance of the degree audit system, to include technical solutions, business processes, and workflows critical to the success of academic advising and degree progress and completion planning. Compiles and programs MHCC degree and program requirements into degree audit software to include the review, interpretation, and updating of requirements annually or as needed; tests new releases and upgrades; maintains transfer articulation records and tables; reviews and researches course equivalencies, and maintains overrides and exceptions. Trains faculty and staff, and updates degree audit documentation. Awards college-level degree and certificates. Collaborates with various departments and stakeholders to ensure accurate and efficient degree audit services for students.

Essential Duties

  • Coordinates and provides day-to-day oversight and training for transfer course evaluation and processing of student academic records as well as other types of transfer credentials.

  • Determines eligibility of credentials toward completion and award of MHCC degrees and certificates. Reviews, researches, and ascertains course equivalencies; encodes and maintains transfer articulation school and table records.

  • Acts as the liaison for credential evaluation and degree auditing. Reviews records for quality control and audits transfer credentials evaluation and degree awarding. Acts as a resource for admissions and transcript evaluation staff.

  • Develops, maintains, and updates processes pertaining to degree and certificate completion and award processes and the degree audit system. Monitors credential integrity according to institutional and state credential requirements.

  • Coordinates standard operating procedures for transcript evaluation, system maintenance, and degree/certificate completion and awarding. Reviews current processes, recommends changes, and works with transcript evaluation and degree awarding staff to improve overall process efficiency.

  • Maintains and creates appropriate forms for student and faculty use.

  • Encodes institutional and state degree requirements, catalog updates, and transfer articulation rules in the degree audit system. Updates as necessary.

  • Acts as the liaison to Information Technology to identify solutions to system issues. Works with staff to identify system requirements. Provides recommendations on solutions and identifies next steps in the resolution process.

  • Acts as the subject matter expert for the degree audit system. Participates as a member of the system users group, and ensures successful system updates. Evaluates system capabilities against College needs and recommends changes and other actions as needed. Provides training and support to staff utilizing the software.

  • Advises faculty and college staff concerning program course equivalencies, degree and certificate requirements, alternative credit options, and completion and award progress.

  • Acts as a liaison to the Instructional Services Office; responds to inquiries and works with the office on credential offerings, course histories, general education applicability and letters of transferability. Assists with necessary catalog and other institutional publication edits, and reviews catalog proofs to ensure effectiveness of academic changes in policies and regulations.

Additional Duties

  • Trains and monitors students and/or part-time employees who assist with admissions, records and registration processes.

  • Assists with compliance audits from the appropriate approving agencies.

  • Assists with official commencement program as needed. Represents the college's Admissions, Registration and Records department at commencement ceremonies.

  • Performs all other related duties as assigned.

Minimum and Desired Qualifications

Education: Bachelor's degree from an accredited institution

Experience/Training:

  • Minimum (3) years credential awarding, degree auditing, and credential evaluation

  • Proficient using computer applications and systems relevant to the position, such as student information systems and Microsoft Office Suite

  • Demonstrate strong knowledge of degree audit systems, preferably experience with Jenzabar or similar student system software.

Equivalent combinations of education and experience may be considered on a year for year basis

Desired Qualifications

  • Experience working in higher education, preferably in academic advising, registrar's office, or a related area

  • Experience working in a student support environment assisting students.

  • Familiarity with academic program requirements, transfer credit evaluation and graduation processes in a higher education setting

  • Detail-oriented with strong technical and business analytical and problem-solving skills.

  • Knowledge of the principals and practices of transfer articulation and degree awarding academic program requirements in a higher education setting.

  • Excellent customer service skills, including successful experience working with diverse populations

  • Excellent verbal, interpersonal, and written communication skills to collaborate effectively with diverse stakeholders, including students, faculty, staff, and administrators, including active listening skills

  • Ability to effectively handle multiple tasks, priorities changing deadlines, and move quickly among various functions and responsibilities

  • Ability to utilize required software programs such as databases, integrated student information systems, and scheduling software

  • Ability to utilize critical thinking, analyze data, and exercise independent, sound judgment and initiative

Working Conditions and Important Information

Working Conditions

Work is typically performed in a normal office environment while sitting at a computer terminal. Visual eye strain and repetitive hand/wrist motion for data entry and keyboarding functions.

Salary:

Initial salary placement will be based on years of relevant full-time equivalent experience at the sole discretion of the College, per the guidelines in the applicable Handbook or Collective Bargaining Agreement. Please include all relevant full and part-time experience in your application that you want the College to review towards potential placement. Hired employees will not have an opportunity to update past experience or appeal initial placement after the time of hire.
