The Deed Prep Coordinator will be an integral part of a team focused on forming a highly customer-centric title and settlement company. At Zillow, it is our plan to change how closing and settlement services are performed. We will improve the customer experience by reducing customer effort, making information transparent, and improving speed. Achieving these goals starts with the title process.

About the role

An ideal candidate has experience in the title insurance or lending industry. They will be familiar with title and settlement process including title searches, title commitments and deeds. They will understand the form and function of other real-estate documents such as mortgages, deeds of trust, liens, purchase and sale agreements, etc.

Responsibilities include but are not limited to:

  • Create deeds and other conveyance instruments transferring title from seller to buyer

  • Understand nuances pertaining to the proper execution of deeds including vesting, attorney-in-fact language, powers of attorney, notarization and witnessing

  • Understand recording principles and ensure that conveyance instruments are never the source of recording rejections.

  • Call county recorders' offices to gather document recording requirements for deeds, mortgages, satisfactions and releases

  • Work closely with recording specialists to manage any recording rejections pertaining to document format or document completion

  • Work with technical staff members to create a high degree of automation in the creation and completion of conveyance documents

  • Build knowledge base of recording requirements for each county

  • Manage work queue to attain very tight SLAs

  • Update task management system

  • Key operating metric Zero recording rejections.

You are very diligent and detail oriented and can juggle multiple work tasks. You have a general understanding of the real-estate transaction and closing process. You are eager and willing to pitch in wherever you are needed and are not bound by a specific job description. You want to learn, advance, and contribute to the overall success of the team. You are organized and disciplined in how you manage your work-space. You carry yourself professionally and represent Zillow Offers and Zillow Group both internally and externally.


  • Two years' experience in a real estate capacity, title and closing experience preferred

  • Customer service mentality

  • Effective oral and written communication

  • Ability to prioritize and handle multiple tasks simultaneously. Driven to 'do it now'.

  • Ability to work extra hours during peak times of the month

  • Paralegal or associate's degree preferred but not required

Your day-to-day: * Creates and maintains a sound working relationship with all preparation personnel. * Must be familiar with health requirements, OSHA regulations and Department of Labor regulations as they pertain to all kitchen and restaurant employees. * Reports to the Executive Chef any maintenance or repairs needed. * Prevents the spoiling and contamination of foods by enforcing proper sanitation practices and ensuring compliance with policy and health regulations. * Know and complies consistently with our standard portion size, cooking methods, quality standards and kitchen rules, policies and procedures. * Stocks and maintains sufficient levels of food products at line stations to assure a smooth service period. * Maintains a clean and sanitary work station area including tables, shelves, grills, broilers, fryers, pasta cookers, sauté burners, convection oven, flat top range and refrigeration equipment. * Know and complies consistently with our standard portion size, cooking methods, quality standards and kitchen rules, policies and procedures. * Complies with departmental policies as well as restaurant rules and regulations and policies set forth in the Employee Handbook and Management. * The Line Cook will provide "excellent quality" and "presentation" of all food to the guests. The demonstration, preparation and execution of each menu item and the item specifications and presentation will be agreed upon. * Proper guest service requires that the food is produced on a timely basis and that the servers are well educated regarding the menu. * Maintain a high level of cleanliness in the kitchen facilities. * It is the Line Cook's responsibilities to assist in the daily cleaning of the pantry, cooking line, prep kitchen, dish area, stairs, walk-in and downstairs prep area. Specific experience we're seeking: * Previous cooking experience in restaurant and/or culinary experience in a high volume, full service restaurant. * Food handler certification * Trained in knife skills and basic kitchen equipment. * Ability to multi task under pressure and the ability to establish a positive rapport with many types of personalities. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
