In this position you will:

be responsible for ensuring data integrity within the TOTE systems for accurate reporting, asset management, and financial tracking as well as completing data entry, reconciliation, audit, and support for the Customer Service and Operations groups.

Main Duties and Responsibilities Include:

  • System Data Management & Analysis

  • Research and create missing return transport bookings in CargoWise to support the Inland Billing Specialist

  • Create northbound delivery transport bookings for house bookings

  • Produce reporting from systems as needed

  • Correct invalid activities in EAM daily

  • Update locations not reviewed in EAM daily

  • Complete a full system reconciliation and analysis weekly

  • Produce southbound load counts report weekly to the Customer Service Manager

  • Produce and manage transport booking clean up report to Customer Service after month end is complete

  • Audit and correct missing Move Reasons in CargoWise transport bookings

  • Provide support to the Inland Billing Specialist with formatting and submitting the carrier files

  • Complete system testing as needed

  • Audit and correct missing or incomplete local clients in CargoWise transport bookings to ensure accurate cost tracking and reporting

  • Support Customer Service team with operational tasks and functions

  • Answer customer phone calls and emails

  • Audit northbound delivery schedules in CargoWise

  • Monitor northbound deliveries for on time results

  • Answer customer questions regarding vessel sailing or other operational requirements

  • Track cargo and provide tracking information to customers

  • Research and resolve customer issues and answer customer questions

  • Inform customers of applicable policies and regulations related to shipments

  • Arrange logistics: spots, transloads, deliveries, and pickups

  • Support the usage of the Web Portal with customer base, and respond to Web Portal issues

  • Monitor and correct Web and EDI bookings

  • Run and audit various reports for customers and internal use

  • Provide support throughout the department

  • Report on service issues

  • Build positive, collaborative relationships with internal employees

  • Effectively perform additional duties, as assigned

The ideal candidate will have:

  • Excellent customer service skills

  • Excellent verbal and written communication skills

  • Good math skills

  • Good organizational skills

  • Must be a team player

  • Ability to multi-task and prioritize

  • Ability to work with little or no supervision

  • Ability to work flexible hours, including evenings and weekends, as required

  • Computer literate, with the ability to utilize standard software applications and be proficient in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel) and E-service center & E-commerce web-based applications

Qualifications (Education, Experience, & Certifications):

  • High School Graduate

  • Pass the TOTE minimum threshold testing prior to accepting a job call from Local 959

  • Clerical office experience or training preferred

  • Meet the federal training standards required for transportation workers within 90 days or as schedule allows

  • Computer literate, with experience utilizing multiple software applications

  • proficient in Windows and MS Office Suite
