Data Processing Coordinator

JOB DESCRIPTION SUMMARY

The Data Processing Coordinator reports to the Director of Admissions while providing operational and administrative support to departmental staff and supervisors following the standards, procedures, and policies of the department, university, and accrediting agencies. The processor will review, verify, and input information received from multiple external electronic sources and physical documents. They will maintain the integrity of admissions and student records in multiple databases by reviewing data for errors and/or redundancies, making corrections, and checking outputs. The processor will also create systems and processes to effectively and efficiently manage workflow and generate reports and audits as needed.

JOB DESCRIPTION

RESPONSIBILITIES:

  • Create and maintain admissions records utilizing information collected from multiple electronic sources and physical documents.

  • Verify the accuracy of data and records through individual assessment and mass auditing making necessary updates.

  • Maintain the highest level of detail and accuracy to assist in generating routine reports and audits.

  • Prepare and review documents and university records to aid in the productivity of the admissions department's annual cycle and goals.

  • Assist with monthly and year-end reporting.

  • Assist with electronic data imports and exports.

  • Assist in the transition to a new Student Information System.

  • Communicate effectively with students and counselors regarding application completion and documentation.

  • Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to collect and analyze admissions data in a detail-oriented manner.

  • Self-motivated and able to balance multiple tasks simultaneously among changing priorities and deadlines.

  • Become knowledgeable of federal and state laws, regulations, processes, and policies involved with maintaining compliance.

  • Ability to respond to inquiries effectively and accurately from students, parents, staff, and faculty.

  • Knowledge of Microsoft Word, Excel, and Outlook.

  • Ability to document procedures in a clear and concise written format.

  • Ability to work in multiple databases at once.

MINIMUM QUALIFICATIONS:

  • Associate Degree

  • Minimum of one (1) year of experience in Data Processing, Data Entry, or a related field

  • Any appropriate combination of relevant education, experience, and/or certifications may be considered in lieu of a degree.

PREFERRED QUALIFICATIONS:

  • Two (2) or more years of experience in a higher education

  • Advanced knowledge of database management and Excel Experience with Salesforce and/ or Ellucian Banner

  • Experience working with confidential records.

REQUIRED LICENSES, CERTIFICATIONS, AND/OR OTHER SPECIFIC REQUIREMENTS OF LAW:

  • Must possess a valid driver's license.

  • This position requires a criminal background check, which may include a Level II screening as required by Florida Statute §435.04.

  • This position is subject to federal and state privacy regulations.

NORMAL WORK SCHEDULE: This position is salary exempt. The normal work schedule is Monday - Friday, 8:00 a.m.-5:00 p.m.; however, the schedule may vary depending upon activities. Occasional overtime (weekends and evenings) may be required.

TARGET HIRING SALARY: $ 19.24 hourly
