Job Description

Under management and supervision of the Head of School, the Data Coordinator performs a variety of technical, administrative, and computer support functions for the International High School of New Orleans (IHSNO). Work involves utilizing specialized computer-driven file maintenance, word processing, and spreadsheet programs. Work involves supporting the integration of data-driven decision-making, preparing, submitting, and maintaining various reports, including the Louisiana Department of Education reports.

Employee is responsible for troubleshooting errors or other operational problems with student data software; and also performs a large variety of clerical, secretarial, and administrative duties involving analysis of data and reporting to the Director of Operations. This is a 12-month position.

Major Duties and Responsibilities

A. Culture, Ethics and Integrity

● Understands, communicates, and exemplifies the goals and vision of the organization and the Head of School's Office.

● Helps create an environment and culture that enables the organization to fulfill its mission by meeting and exceeding its annual and long-term goals by conveying the school's mission to all staff, motivating and providing staff with the resources required to improve performance, and holding staff accountable to performance.

B. Data

● Serves as a Lead Contact for the Louisiana Department of Education and student information systems, web-based application. Assists with ensuring the school's program is consistent with state-mandated criteria.

● Considerable knowledge of Louisiana Dept of Education standards, student accounting procedures and regulations, and state and local requirements as they apply to student information.

● Considerable knowledge of student information software packages- PowerSchool.

● Working knowledge of records maintained in student data software and specialized reporting software.

● Uses specialized reporting software to produce district-level reports to the Department of Education. Maintains information for LDOE Information System (LEADS) which includes (SIS). Submits and maintains all LDOE Reports and Systems (SIS, PEP, SPC, CUR, OTS, SPS, STS, TSDL, CVR, Data Collections, COMPASS/NIET, and Auditing information for accuracy.

● Serve as the district security coordinator for the LEADS System. Distribute and Delete Login Information to new users/old users.

● Serve as the point of contact for Student Privacy Compliance with data sharing in accordance with ACT837.

● Serve as the accountability contact to complete necessary data verifications and audits for Data Certification for SPS.

● Maintains student enrollment data (entry and withdrawals) in the necessary student information systems.

● Creates trend reports including Ad Hoc reports for administration as needed.

● Will assist the Academics in creating and maintaining the Master Schedule.

C. Human Resources

● Coordinates user security within the student information system.

● Responsible for Student Data policy development and documentation.

● Using data analysis to help create plans that support the Mission and Vision of IHSNO

● Assists in developing the Annual Strategic Plan for the department.

● Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.

● Conducts or acquires background checks and employee eligibility verifications.

● Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.

● Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.

● Maintains compliance with federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.

D. Resource Management

● Create reports from Student Information Platforms, including PowerSchool, as directed and include status reports of admission progression.

● Maintains and utilizes the computerized student information system.

● Maintains, generates, and distributes student demographic information, as required.

● Attends conferences and classes to develop and maintain knowledge of database management, and the student information system.

● Troubleshoots operational and software problems, determines the cause of error or stoppage, applies corrective techniques in cases where the problem is software-related, or refers problems to technical support staff.

● Oversee and Supervise Student Data function.

● Communicate the status of the application and transfer files to the Supervisor.

● Create reports from NCAP and/or PowerSchool as directed and include status reports of admission progression.

E. Advocacy

● Provides information and/or training to school staff on the student information system, and application of data from the system.

● Provides the files to be used in school accountability.

● Ability to train users on the use of available software as it pertains to data/admissions.

● Provides support to all school-based personnel in the use of the computerized student accountability system, handles complex system errors or malfunctions, and provides expertise in non-routine situations.

● Assists in all areas of student information such as receiving data entry requests and determines appropriate procedures to obtain input/output results for databases.

● Assists in establishing and enforcing standards, policies and procedures for the student and personnel information management system.

F. Other

● Perform other administrative tasks and/or special projects as requested.

● Performs other related work as required.

Minimum Qualifications:

Education & Experience:

● Bachelor's Degree in Computer Science or related subject

● Minimum 5 years experience with Student Information Systems (LEADS Portal, EdLink, PowerSchool)

● Advanced proficiency in Microsoft Office Programs and File Maintenance Programs

Work Conditions:

Work is generally performed in a school environment. Must be able to bend, stoop, reach, lift, walk three flights of stairs, stand or sit for prolonged periods, have dexterity of hands and fingers to operate office equipment, lift up to 35 pounds, and communicate effectively and positive verbally and in writing.

This position may entail extended workdays, weekend duties, on-call responsibilities, and the ability to hand and balance multiple demands at one time. Attendance to local and national conferences, as required.
