DATA MANAGER/OFFICE SUPPORT
GENERAL STATEMENT OF JOB
Under general supervision, performs a variety of task for the student information system in the district. Work involves utilizing specialized computer-driven file maintenance, word processing and spreadsheet programs which are part of the student information system (PowerSchool) to develop and maintain records of student data (attendance, class schedules grades, demographic statistics, immunizations, etc.). Work also involves enrolling new students to the district.
REPORTS TO: Principal
ESSENTIAL JOB FUNCTIONS
Assists in scheduling and coordinating the transfer of USERS information and other electronic files from the LEA to DPI and ensuring districts compliance with reporting requirements. Prepares and maintains other computer databases pertaining to student records, activities and demographic information.
Prepares and maintains database on student enrollment, records data such as student's name, address, parents or guardians, sex, race, immunization record, grade of assignment, class schedule, grades, school bus assignment, lunch period assignment, medical needs, emergency contacts, etc., records students' enrollment and withdrawal from school, records reasons for withdrawal and students plans as available. Assists school -based personnel in implementing standards and operating procedures established for management of student data.
Assists in providing instruction and disseminating information to Principals and other school administrators regarding student information requirements for the operation of the student information system.
Collects data from individual school sites, consolidates and creates summary databases/reports.
Uses common software packages (word processing, spreadsheet and database) to produce additional reports.
Provides first level support to all school-based personnel in the use of the computerized student information management system, handles complex system errors or malfunctions, and provides expertise in non -routine situations.
Provides assistance in all areas of student information, developing attendance reporting formats, grade reporting, registration and scheduling, discipline reporting, etc.
Works directly with teachers in the use of the electronic grade book system, including training and program analysis.
Troubleshoots operational and software problems, determines cause of error or stoppage, applies corrective techniques in cases where the problem is software related or refers problem to technical support staff.
Answers department telephone, provides immediate assistance if possible, researches solution or refers call to IAT technical support department
Provides on-site assistance to users with the utilization of available hardware and software.
Offers training for school-based personnel in use of the student information management system, including comprehensive training of new staff and keeping existing staff current with changes to the system.
Assists in reviewing and evaluating other computer database software applications pertaining to student information.
Audits school data for compliance with state standards.
Assists in establishing and enforcing standards, policies and procedures for the student information management system.
Performs other duties and responsibilities as assigned by supervisor.

MINIMUM TRAINING AND EXPERIENCE
Graduation from high school and at least years of experience in an automated office or systems environment, or any equivalent combination of training and experience which provides the required knowledge and skills and abilities.
MINIMUM QUALIFIECATIONS OR STANDARD REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS.
Must be able to use a variety of automated office equipment such as computers, copiers, typewriters, calculators, etc. Must be able to exert negligible amounts of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Due to the amount of time spent standing and or walking, physical requirements are consistent with those for light work.
Requires the ability to compare and or judge the readily observable, functional, structural, or composite characteristics (whether similar to or divergent from obvious standards) of data, people or things.
Requires the ability to speak and or signal people to convey or exchange information. Includes receiving instructions, assignments and or directions from superiors.
Requires the ability to read a variety of correspondence, reports, handbooks, forms, list, etc. Requires the ability to prepare correspondence, simple reports, forms, etc. using prescribed format.
Requires the ability to apply rational systems to practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.
Requires the ability to utilize mathematical formulas; to add and subtract; to multiply and divide; and to utilize decimals and percentages.
Requires the ability to inspect items for proper length, width and shape.
Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment.
Requires the ability to handle a variety of office machines, etc. Must have minimal levels of eye/hand/foot coordination.
Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.
