Performs timely and accurate data entry and maintenance of provider records or credentialing and contract information in multiple databases. Researches and resolves questions and complaints, and ensures that information in all databases is accurate and properly configured to support operations.


  • Reviews correspondence and timely, accurate record set-up and data entry.
  • Supports internal auditing process to ensure data accuracy and integrity.
  • Researches and resolves issues and ensures systems are updated, timely, appropriately and accurately.
  • Responds to requests to update or change information and ensures that all changes are made within operational guidelines and accurately support all other systems related functions.
  • Researches and responds to providers and other internal staff regarding complex inquiries.
  • Develops solutions and communicates outcomes by telephone and in writing.
  • Supports the implementation of new business by ensuring providers are appropriately and accurately loaded in all applicable systems.
  • Records daily activities using electronic and manual systems as directed.
  • Provides consultation and information to area offices regarding the composition of the provider network or specific provider statuses.
  • Forwards provider requests for network inclusion to the area offices for review and approval.
  • Assists representatives with detailed information in order to answer provider questions and returns provider calls, as requested, to communicate resolution and/or appropriate course of action.
  • Performs other duties and special projects as assigned.

  • Education:

HS/GED Minimum
  • Two+ years’ experience in data entry related role*
    • Healthcare experience preferred
    • Possesses the ability to type 45-50+ words per minute.
    • Other standard office equipment including telephone, copy machines, personal computer software and mainframe/LAN data systems.
    • Possess a high level of technical aptitude and be able to organize and manage information in multiple system environments.
    • Manages multiple priorities, pay close attention to detail as well as be proficient in word processing and spreadsheet applications.

ABOUT THE POSITION: The Data Entry Clerk - CWHP provides clerical support to the Community Wellness & Health Promotion (CWHP) staff by verifying and entering immunization data into the centralized State of Arizona database (ASIIS) Verifying insurance eligibility, assisting clients, and performing general office clerical duties in the office and immunization clinic. Experience: * Six (6) months of experience performing general clerical duties in a medical/health care setting or school environment. Other Requirements: * Customer service experience working with the public. Our Preferred Candidate has: Preferred education/experience/training/certifications * One (1) or more years of experience performing general clerical duties in a medical/health care setting or school environment. * Bilingual skills (English/Spanish). * Experience entering data into the Arizona State Immunization Information System (ASIIS). * Experience verifying insurance eligibility through the Arizona Health Care Cost Containment System (AHCCCS). Essential Job Tasks * Enters all client immunization information into the central database, including demographic data. Checks database for duplicate records. * Translates immunization records of clients from other countries to the American equivalent prior to entering data into the system. * Prepares immunization program batch log sheets for all clinics and enters data into an Excel spreadsheet. * Ensures that all column totals balance to the number of vaccine doses administered. * Answers incoming telephone calls and assists the public and medical providers with general inquiries and referrals to other agencies for assistance. * Searches for client immunization records utilizing ASIIS, the State immunization database. * Assists CWHP immunization program staff, medical providers, school nurses, and the public requesting immunization records, as needed. * Validates parent/guardian identification documents prior to releasing immunization information. * Performs quality assurance check on data entered into ASIIS prior to documents being sent to storage. * Prepares immunization documents that have been entered into the database for transport to third party billers and long-term storage. * Prepares log sheet, listing contents of each storage box, program name, and date of each batch. * Works at offsite immunization clinic sites and one-time clinic events, performing record searches and assisting clients and staff when needed. Working conditions: Primarily assigned to work at CWHP Office, but may be required to work at CWHP clinics to meet staffing needs. Must be able to participate in emergency response training as scheduled and be available to respond as directed in the event of a public health emergency.
