Data and Records Manager position will interface with the Program Director and must act within the scope of authority and within reasonable limits as outlined by the Program Director. All administrative tasks under the purview of this position require strict adherence to confidentiality.

Responsibilities include, but are not limited to:

  • Oversee and direct clinical scheduling including triage, intakes, counseling, psychoeducation, and peer support sessions across multiple electronic platforms for DAC S.H.I.E.L.D

  • Maintain effective working knowledge of state, federal, and local law as well as regulatory ethics regarding clinical and peer support services in North Carolina and provide internal consultation and training on the same

  • Develop and maintain procedures for timely response to program inquiry - returning messages, connecting staff to support or care, referring to S.H.I.E.L.D. managers and providers, responding to correspondence, and protecting confidential files

  • Maintain DAC staff-client S.H.I.E.L.D. records from creation to disposal in accordance with state law and ethical practices concerning mental health and peer support responding to correspondence, and uploading confidential file documents

  • Assist S.H.I.E.L.D. Executive Assistant with HR processing, e-procurement and accounting tasks, supply maintenance and transport, and budgeting

  • Maintain inventory of fixed assets, CEU's and renewal cycles for providers, and all other records relative to S.H.I.E.LD. operations

This position is eligible for a flexible/hybrid telework schedule under the State of NC Telework Program.  

This is a full-time position (40 hours per week) with State Benefits.

About the Division

SHIELD provides confidential, non-emergent support services to DAC staff. These services include a combination of coordinated behavioral health and peer support initiatives focused on wellness to support professional and personal efficacy. SHIELD exists to improve the overall health and performance of the correctional workforce.

The Knowledge, Skills, and Abilities listed below, along with the Minimum Education and Experience requirements, are REQUIRED to qualify for this position. We will not review resumes in lieu of the Experience and Education listed on the application.

To qualify for this position, applicants must document on the application that they possess ALL of the following:

  • Experience working in an administrative role with confidential electronic records systems, personnel and accounting records, and fiscal records/practices

  • Experience creating and managing multiple schedules in a busy confidential office setting while providing exceptional customer service to internal and external stakeholders

  • Experience serving multidisciplinary teams and working collaboratively with other administrative professionals

Management Preferences:

  • Experience creating and managing user profiles within electronic records systems and call vendor platforms

  • Experience creating, maintaining, and transferring mental health records according to HIPAA regulations

Bachelor' s degree from an appropriately accredited institution and three years of experience in personnel, budgeting, research or administrative management; (OR) an equivalent combination of education and experience.
