GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.

Under general supervision, the prep specialist is responsible for accessioning and processing all types of specimens for cytopathology following established procedures. Works independently. Responsibilities require an exceptionally detail-oriented, alert, diligent individual. Errors in processing may have serious implications with regard to patient care and billing.

PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.

1.Maintaining diagnostic viability of all specimens received.

2.Ensuring specimen integrity and correct submission of all materials received. Documenting when specimens do not meet submission guidelines and following up to either accept or reject the specimen.

3.Accessioning and labeling cytology specimens, entering demographic and billing information into the LIS. Labeling slides, vials, and requisitions according to specified procedures.

4.Processing non-gynecologic cytology samples, including assisting with intra-operative on-site evaluation procedures in the frozen section room, following established procedures.

5.Processing gynecologic samples following established procedures as necessary.

6.Triaging specimens to Pathology Receiving or other laboratories for additional testing.

7.Filing slides and requisitions as needed.

8.Documenting lab QA/QC charts.

9.Continuous monitoring of lab's preparedness for mandatory, unscheduled inspections.



  1. Operating and maintaining equipment for processing, according to manufacturer's guidelines.

  2. Completing mandatory annual HealthStream requirements.

  3. Sharing back-up receptionist coverage as needed.

  4. Identifying and documenting problems and bringing to the attention of senior staff. Troubleshooting routine problems with supervision.

  5. Assisting in training new laboratory staff and rotating fellows and residents.

  6. Inventory maintenance.

  7. Participating in continuing education/in-service training sessions sponsored by the department and hospital.

  8. Maintaining established department policies, procedures, and objectives, including area of quality assurance, safety, environmental and infection control.

  9. Performing other duties as requested.


QUALIFICATIONS: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)

High school diploma or equivalency required. AS, BS, or BA in biological sciences, medical terminology, and/or prior related work experience preferred.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)

A good understanding of biology, chemistry and math, as work requires knowledge of histochemical reagents, solutions, equipment operation and maintenance.

Manual dexterity and visual acuity, and the ability to work with equipment and small, delicate specimens.

Good analytical ability and verbal skills to gather and interpret data and describe visual appearance of the sample.

Organized, alert, detail-oriented, thorough, and vigilant.

Dedication to cleanliness.

Willingness and ability to identify, document, and troubleshoot problems.

Good interpersonal skills.

A high degree of integrity, reliability, and efficiency.
