Vista CAM is looking for a Community Support Specialist to provide exceptional customer service to the communities and homeowners that we serve. This role will champion our companys efforts to deliver quality results and expectations for our clients, business partners, and company. To be successful in this role, you should be a good communicator with excellent attention to detail, organization, and people skills.

Responsibilities

  • Identify customer needs and help customers with requests relating to their community
  • Act as liaison between Community Association Managers, Board Members and Homeowners
  • Follow-up with residents to ensure their concerns have been addressed and satisfied
  • Respond to customer queries timely and accurately, via phone, email or homeowner portal
  • Process new tenants and facilitate communication between applicants and board members
  • Maintain necessary files and documents related to HOAs, Condominiums, and Homeowners
  • Update our internal databases with relevant community information
  • Correspond with vendors and service providers who service communities
  • Help with onboarding process for new communities and homeowners
  • Receive/respond to inquiries (verbal and written) in a professional, efficient, and timely manner.
  • Provide assistance to Community Association Managers with meeting notices, mailings, sign-in sheets, and other community related tasks
  • Process Homeowner Portal requests and facilitate follow-through to completion
  • Maintain proper organization and tracking of pending action items
  • Assist with planning of community welcome events, board seminars, and vendor events
  • Analyze existing opportunities for streamlining processes and make actionable recommendations to improve quality and efficiency

Requirements

  • Team player who is self-driven and motivated to deliver quality results
  • Experience as a Customer Support Specialist or similar CS role
  • Familiarity with Association or Property Management industry is a plus
  • Experience using help desk software and remote support tools
  • Understanding of how CRM systems work
  • Excellent communication and problem-solving skills
  • Ability to prioritize and manage multiple open tasks
  • Patience when handling tough cases
  • BA in Business, English, or similar preferred
