This role demands a master juggler! As a successful Office Coordinator/Dispatcher, you'll seamlessly balance heavy data entry and administrative tasks with customer service excellence and efficient dispatching. Precisely manage portal and Service Channel entries, process invoices, and ensure all data is accurate, all while fielding customer calls, scheduling technicians, and keeping operations running smoothly.

Key Responsibilities for the Office Coordinator/Dispatcher:

  • Handle inbound/outbound customer calls, turning inquiries into appointments and addressing concerns to ensure satisfaction.
  • Serve as a backup for dispatch duties, stepping in to cover as needed.
  • Process and generate customer invoices in the system, including distribution. This may involve working with customer portals to ensure timely invoicing.
  • Maintain and organize detailed information within a customer portal used by one of our largest clients with multiple locations.
  • Oversee and manage inventory within the parts room, ensuring stock levels are maintained.
  • Manage and maintain inventory for technician truck stock, ensuring that all necessary parts and tools are available.
  • Act as the first point of contact in the office for technicians needing assistance with Service Titan (our dispatch/purchase order system), customer portals, quotes, or any other issues that arise while they are on the road.
  • Dispatch technicians efficiently, balancing schedules, requests, and urgent needs.
  • Prepare and organize daily work schedules and orders for technicians.
  • Be available during business hours and participate in on-call rotation for nights and weekends.

Ideal Candidate Profile for the Office Coordinator/Dispatcher:

  • Customer service and dispatch experience in the HVAC industry is a plus.
  • Tech-savvy with experience in Service Titan and/or ServiceChannel systems preferred.
  • Strong written and verbal communication for clear, effective problem-solving.
  • Detail-oriented with accurate data entry skills.
  • Empathetic and approachable, able to handle difficult customer situations calmly.
  • Reliable and thrives under pressure, with excellent multitasking abilities.
  • Positive team player eager to learn and grow in a fast-paced environment.
