Job Summary

Under minimal supervision and guidance, acts as liaison and team member between customers, sales and manufacturing departments. Develops and maintains customer satisfaction and loyalty by acting as customer advocate.

Primary Duties and Responsibilities (*Essential Functions)

These are functions a qualified incumbent or applicant must be able to perform with or without reasonable accommodation.

  • Provides fast, courteous responses to internal and external customers.

  • Maintains active communication between customers, sales staff and manufacturing personnel concerning order status. Review client specifications and provide efficient and economical production alternatives when necessary.

  • Expedites or revises job orders as needed.

  • Receives or prepares customer inquiries concerning current and past orders.

  • Prepares cost estimates.

  • Generates orders by utilizing established pricing guidelines and reviewing customer purchase orders. Coordinates preparation of written quotes and proposals.

  • Reviews manufacturing orders ensuring accuracy and completeness of orders.

  • Maintains the daily update of production schedule. Notes any deviations and communicates such to customer.

  • Independently discerns and solves concerns or complaints from customer.

  • Coordinates the preparation of written quotes and proposals. Creates estimates and communicates the information with customers and sales department.

  • Coordinates and monitors customer releases and inventory management.

  • Arranges delivery dates and communicates shipment and delivery information.

  • Collects production specification for jobs.

  • Informs sales staff of customer interactions, alerting department to any conditions that may lead to customer dissatisfaction.

  • May train other customer service staff or direct work flow or other Customer Service Representatives.

  • May act as designated representative for specific accounts.

  • May maintain shipping dates in database. May coordinate dates with shipping department to ensure they are met.

  • Performs other duties as assigned.

Physical Requirements & Environmental Conditions

  • Environment is typically general office, though the incumbent may spend short periods in the manufacturing environments with exposure including but not limited to dust, dirt, high noise levels and variations in temperature. Occasional exposure to one or more unpleasant or hazardous conditions 6% to 20% of work time.

  • Incumbent constantly required to hear, speak and articulate.

  • Incumbent regularly required to stand, walk, use color vision, grasp, reach, use manual dexterity and sit for prolonged periods of time.

  • Incumbent occasionally required to lift up to 25 lbs and carry.

  • Incumbent occasionally required to travel.

Requirements

  • High School Diploma or equivalent. May include specialized classes beyond high school.

  • Has proficient understanding of principles in one or more functions. Typically possesses 5-7 years of relevant work experience.

  • Strong PC skills including Office Software packages and Internet.

  • Excellent customer service and communication skills

  • Ability to calculate figures and amounts such as discounts interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply the concepts of basic algebra and geometry.

  • Generally performs single function tasks that tend to be of moderate size and scope.

  • Ability to read, analyze and interpret general business periodicals, technical procedures and numerical data. Ability to write simple reports and general business correspondence. Ability to effectively present information and respond to questions from management, customers and employees.
