Job Objective: Assist with administrative support and deliver outstanding customer service. Project a professional company image through in-person and phone interaction.

Essential Duties and Responsibilities:

  • Deal Directly with customers either by telephone or email

  • Perform general clerical duties to include but not limited to: copying, faxing, mailing and filing

  • Processing daily invoicing duties, communicating with internal and external customers.

  • Coordinate and communicate customer orders/questions/requests with operations and sales teams.

  • Handle and resolve customer complaints

  • Obtain and evaluate all relevant information to handle product and service inquiries

  • Provide pricing and delivery information

  • Set up new customers

  • Process orders, forms, applications and request

  • Organize workflow to meet customer timeframes

  • Maintain customer databases

  • Communicate and coordinate with internal departments

  • Provide feedback on the efficiency of the customer service process

  • Track, purchase & manage stock of office and kitchen supplies as needed

  • Prepare correspondence and presentations

  • Prepares and coordinate mail, faxes, and express packages.

  • Manage other tasks (ongoing or project) as deemed necessary by management

  • Work on special projects as needed

  • Must be able to analyze situations for safety and practicability, and deal with problems involving few concrete variables in fairly standardized situations.

  • Must demonstrate a professional, courteous demeanor to both customers and coworkers and keep safety in mind at all times.

  • Excellent verbal and written communication skills

  • Ability to work in a deadline driven environment.

  • Dependable with a positive attitude

  • Self-motivated and able to work independently as well as part of a team

  • Excellent interpersonal & problem-solving skills

  • Excellent phone etiquette

  • Customer-focused & proficient relationship builder

  • Proficient knowledge of Microsoft Word, Excel, PowerPoint

  • Ability to explore and learn other software applications

  • Ability to prioritize and manage deadlines

  • Accuracy and attention to detail

  • Strong organizational skills
