Responsibilities

  • Order Entry

  • Enter orders from customer/sales received via email, fax, phone, sample websites

  • Verify product, customer and shipping information to ensure accuracy

  • Provide order confirmation and back order promise dates.

  • Offer assistance with alternative sample products as required.

  • Process customer & sales inquiry calls and emails

  • Update customers/sales on order status, shipping information, and inventory availability

  • Serve as a single point of contact for sales and customers

  • Respond to all inquiries promptly, acknowledging receipt, and confirm timeframe for resolution.

  • Respond to customer needs, consistent with company standards and business practices.

  • Offer assistance to customers using website to place sample orders.

  • Maintain equitable call volume relative to department and supervisory guidelines

  • Ensure that all calls are answered promptly and handled in a professional manner

  • Inventory management / Shipping

  • Monitor back-order status, aged orders, and automatic shipments to sales for all new products.

  • Coordinate priority shipments with Sample shipping department.

  • Confirm shipment/delivery of expedited priority shipments as required

  • Miscellaneous Duties as required

  • Assist in departmental reporting, tracking and special projects

Qualifications

  • High School Diploma or GED equivalency required..

  • Some college in business related field or (CCSS). Prior experience in basic customer service. Certified Customer Service Specialist Program is preferred

  • 1-3 years of customer service or job related experience

  • Basic Computer Skills:
    in word-processing and spreadsheet applications (Outlook, Webmail, MS Word, Excel, AS400 & Electronic mail required).

  • Ability to learn, follow oral and documented instructions and/or apply general knowledge of Company brands and products information, department procedures, practices, standards, etc.

  • Record of solid work history without written counseling for attendance/punctuality or other performance issues.

  • General office experience required with exposure in a customer service environment preferred.

  • Excellent oral and written communication skills with a demonstrated ability to interact effectively with individuals at all levels in the organization required.

  • Good Voice Quality that is conversational and professional.

  • Ability to interpret and follow oral and written instructions, policies, guidelines and processing standards.

  • Ability to demonstrate strong interpersonal relationship building skills.

  • Ability to prioritize and manage time effectively.

To provide customer support and communication for Company customers, and marketing, sales professional services, and administration. Under direct supervision, responsible for booking and releasing customer orders and assuring that all orders are properly shipped. A high degree of skill and ability to explain most complex matters to ensure customer satisfaction and retention, and to sell products and services. Performs customer service and account maintenance tasks that are more advance. Impacts various areas through effective coordination of information from different offices. This information will be used by Sales Management in customer account business reviews. EOE Minorities/Females/Protected Veterans/Disabled Responsibilities Works under direct supervision and performs any combination of clerical and administrative support activities for the Customers, Sales and Marketing, and Administration areas. Functions as a communications link between Customers and Sales Representatives. Provides general Customer Service and handles more complex issues and situations than the Account Coordinator I. Major Function and Scope: + Processes Customer Purchase Orders and Change Orders. + Provide assistance to Customer Service Representatives in the day to day activities of Account Maintenance + Answer Customer calls pertaining to orders and provide the status of the order, availability and general information on products. Provide pricing information and product alternatives. Expedite shipment requests. + Work with the Customer and Sales to resolve order issues and ensure that the Customer is satisfied with the result while keeping within the established guidelines and procedures. + Compose and/or edit correspondence, spreadsheets, charts/graphs, prepare material for presentations and regular update meetings. + May run established reports from the system and provide information to more senior members for production meetings. + Establish and maintain positive business relationships, both internally and with the customers. + Work as a team to ensure achievement of individual and departmental goals. + Other duties as required Qualifications + High School Diploma or equivalent (GED) required + 1 - 2 years of experience in Customer Service required. + Basic computer skills required (MS Word, Excel, AS400) + Knowledge of Company products and brand information is preferred.
