The Department of the Secretary of State, Bureau of Motor Vehicles is seeking candidates for a Customer Representative Associate II-Supervisor for the Court Records Unit. This is a supervisory position responsible for overseeing and coordinating work functions for Customer Representative Associate II's within the unit. This position works under the direct supervision of the Clerk IV. Work hours are Monday through Friday from 8:00 - 5:00. All new hires must successfully pass a National Criminal Background check, including fingerprinting.
A typical day involves:
Preparing and submitting timely performance reviews for subordinate staff.
Collaborating with Clerk IV in training, mentoring, interviewing and providing guidance to and direction to staff.
Answering telephone inquiries to support both main line and branch calls.
Coordinating approved customer services and initiating requests for missing documents/information, in order provide all customers with the necessary services.
Collecting, validating, and reconciling revenue, in order to verify that the money collected for services reconciles with the amount of revenue to be deposited.
Creating coorespondence, producing verification/clearance letters, social security number and hardship letters.
Overseeing the processing of credential requests for residents at the Maine State Prison.
To be successful, you will need:
Knowledge of supervisory principles, methods, and techniques.
Knowledge of interviewing principles and techniques and teamwork principles and strategies.
Knowledge of Maine Performance Management and Appraisal System.
Ability to verify, code, compute, and/or reconcile data on standard documents.
Ability to effectively resolve problems.
Ability to assist customers and providers with reporting, eligibility, and compliance requirements.
Ability to accomplish the quality/quantity of work within set expectations..
Ability to effectively delegate work as appropriate.
Ability to effectively coach employees and conduct performance appraisals.
