The Custodial Supervisor, under the direction of the Services Manager, supervises the work activities of assigned shift custodians. The Custodial Supervisor assigns custodial tasks, inspects work and solves routine issues. This position is also responsible for providing custodial services.

Although the University will try its best to provide reasonable notice about necessary overtime or changes in work hours, Custodial Supervisors may be requested to work overtime with little to no notice based on unexpected or last-minute type situations. In addition, attendance at certain work-related events may be mandatory at the request of the University.

Core Duties

Supervisor Responsibilities

  • Directly supervise custodial staff. Supervisory responsibilities include hiring processes, setting of expectations, training and professional development, performance management and evaluations, and disciplinary processes including up to termination of employment.

  • Provide on-site Supervision across multiple buildings on the University campus, carrying materials and supplies as needed using University carts or street vehicles.

  • Coordinate and manage shift schedule of custodians.

  • Assign workers to fill temporary or permanent vacancies.

  • Monitor employee attendance and evaluate work performance of custodial staff, making sure quality and scheduling standards are met.

  • Conduct inspections of various areas of responsibilities such as public areas (lobbies, hallways, corridors), elevators, stairs & stairwells, study lounges, computer labs, janitor rooms, breakrooms, storage rooms, restrooms, showers, kitchens, laundry areas, etc. to ensure that proper cleaning, maintenance, security and safety measures have been carried out.

  • Note deficiencies such as the need for repair of equipment, recleaning of rooms, etc. and take corrective action by instructing custodians on specific tasks to be done or by notifying the proper authorities.

  • Keep record of work activities and submit oral and written reports.

  • Approve or recommend for approval any requests for leaves of absence by custodial staff.

  • Inspect workstations,

  • Oversee requisition and distribution of supplies and equipment as needed.

  • Manage inventory of supplies and equipment.

  • Support Services Manager with administrative and operational tasks and/or assignments.

Custodial Service Duties

  • Provide custodial duties to assigned areas or as part of assigned projects.

  • Perform a variety of tasks to meet cleanliness standards set by the University, including but not limited to: picking up waste, cleaning up messes, vacuuming, mopping, dusting, cleaning of windows, carpet extraction, etc.; thoroughly and effectively clean restrooms, including sinks, toilets, urinals, showers, counters, floors, mirrors, etc.

  • Respond to work orders and completes assigned tasks in a timely manner.

  • Provides Events and Facilities support services for assigned University sponsored events, both on and off campus.

Other duties as relevant to the duties of the position or as assigned by supervisor or supervisor's designee.

Education & Experience

  • Preferred: high school diploma.

  • Preferred: a minimum of two years of custodial or housekeeping related experience.

  • Preferred: lead or supervisory experience

  • Or equivalent education and/or experience.

Certifications & Licenses

  • Required: Active driver's license.

Knowledge, Skills & Abilities

  • Ability to maintain good working relationships and exercise initiative and good judgment in organizing work and solving routine problems

  • Knowledgeable about all custodial methods, materials and equipment used in the work.

  • Ability to provide direct feedback to staff and take corrective action when necessary to ensure compliance with University and departmental standards, policies, and procedures.

  • Knowledge of cleaning procedures related to cleaning of institutions, as well as knowledge of cleaning supplies, or ability to be trained in such areas.

  • Superior attention to detail.

  • Strong customer service orientation.

  • Excellent communication skills and ability to interact professionally with a variety of students, faculty, staff, and others.

  • Ability to speak, read, understand, and carry out labels, directions and work orders in English at level of proficiency required by the duties of this position.

  • Excellent commonsense and ability to use good judgment to carry out written or oral instructions, generally in a sequence or with scheduled work activities occurring on a regular basis.

  • Ability to operate cleaning equipment such as vacuums, ride-on vacuums, carpet extractors, and other cleaning equipment as necessary.

  • Ability to do minor vacuum and equipment repair is not required but preferred.

  • Ability to learn and apply applicable University and other applicable policies. Knowledge of FERPA and Title IX policies or ability to be trained in such area.

  • Ability to establish effective working relationships, professional rapport, and effectively accomplish work within a University setting that includes a wide array of individuals, groups, policies, and processes.

  • Competence with and commitment to diversity and inclusion; ability to be an effective partner with diverse students, faculty, and staff.

  • Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.

  • All University of Portland positions require the ability to quickly learn and use new technologies, software, and applications in depth and at level of proficiency required for duties of the position. In most situations, the necessity of learning, using, and supporting new technologies, software, and/or applications does not change a job description nor make the position one that involves higher level duties.

Physical Requirements

  • Frequently: while performing the duties of this job, the employee is regularly required to stand, walk, twist, bend, use fingers and hands to handle materials, tools, and/or equipment, and reach with hands and/or arms.

  • Frequently: the employee must lift, move, or use items or equipment ranging from ten to thirty pounds with or without assistance (such as garbage, vacuum cleaners, cleaning supplies, water buckets, floor machines, etc.).

  • Occasionally: the employee is occasionally required to sit, climb, balance and stoop, kneel, crouch, or crawl.

  • Occasionally: the employee must lift and/or move up to 50 pounds with or without assistance and with or without the use of devices and/or equipment to assist in the lifting effort.

  • When lifting is required, employees are asked to use good judgment, make safety a top priority, and ask for assistance of others or relevant equipment as necessary.

Working Conditions

  • Hours: This position may occasionally require some weekend hours. Although the University will try its best to provide reasonable notice about necessary overtime or changes in work hours, overtime hours or changes in work hours may be required with little or no notice based on urgent or lastminute type situations.

  • Environmental: While performing the duties of this position, the employee is frequently exposed to moving mechanical parts; fumes and airborne particles; bodily waste and blood borne pathogens; and toxic or caustic chemicals. The employee is occasionally exposed to high, precarious places, outside weather conditions and risk of electrical shock and works with vibration causing tools or equipment.

  • Noise: The noise level in the work environment is usually moderate.
