Reporting to the CSPS Business Operations Supervisor and within established hospital and departmental policies, the CSPS Inventory & Tracking System Coordinator is responsible for providing inventory management, program management, dedicated comprehensive technical support, reporting and analytics to the Perioperative Services, Endoscopy and external areas. Additionally, this employee is fully qualified to serve as a Sterile Processing Technician II (SPD Tech II), with all associated competencies, knowledge and certifications and has the knowledge and experience to review and apply manufacturer Instructions For Use for the reprocessing of reusable medical devices.

PRINCIPAL DUTIES AND RESPONSIBILITIES: In order of importance, list essential areas of responsibility, major job duties, special projects and key objectives for this position.   • Provides thorough review of all manufacturer-provided Instructions for Use (IFU's) for validated reprocessing of reusable medical devices.

  • Works collaboratively to design and build custom SPM workflows to support adherence to instrument IFUs.

  • Reviews IFU's for all instrumentation in accordance with enterprise and regulatory standards including the State Department of Health, Joint Commission and Center for Medicare Services (CMS) and escalates concerns to leadership.

  • Ensures accurate tracking system data management for all products and instruments maintained with a special emphasis on data support functions.

  • Works collaboratively with Clinical Operations leadership to develop instrument/scope tray count sheets, enter instrumentation and trays into the tracking system, add pictures/comments, and maintain the down time count sheet system.

  • Print, review and organize Preference Card and Pick Lists from Epic for case cart building.

  • provide information that will assist leadership in monitoring processes, and ensuring adherence to standard operating procedures related to instrument and scope reprocessing.

  • collaborates with education colleagues and assist with orientation and training of sterile processing employees and operating room staff related to the instrument tracking system; may be required to work after-hours and/or weekends on a limited basis for project implementation or training needs.

  • Responsible for Vendor instrument management, including the following functions:

  • Reception, inspection and system entry

  • Instrument contents verification and documentation

  • Return to Vendor and removal from inventory

  • Responsible for management of the department's reusable instrument inventory:

  • Purchasing, shipping & receiving functions and tracking using an inventory tracking system.

  • Maintenance of instrument par levels for commonly purchased items.

  • Implementation and management of individual instrument marking/tracking processes.

  • Maintains instrument repair needs, including coordinating with vendors, issuing requisitions and packaging devices for shipment.

  • Performs various information systems and data responsibilities for CSPS:

  • Managing and troubleshooting CSPS IS hardware and software needs.

  • Managing new employee profiles and manages access for staff in the system.

  • Utilization of Smartsheet and SharePoint to maintain various departmental data files.

  • Perform data entry responsibilities in Epic, including the population and building of Implant Tray contents.

  • Support and coordination of Vendormate and other vendor-related activities, including distribution of temporary access badges for vendors operating within the MGH OR.

  • Must have an advanced understanding regarding standard procedures, operational workflows and regulatory compliance for all areas of sterile processing including decontamination, assembly, sterilization, case pick and endoscope reprocessing.

  • Maintains competencies in all Sterile Processing Functions, including Decontamination, Assembly, Sterilization and Case Pick.

  • Capable of serving as a Sterile Processing Technician II in emergent situations as needed.

  • Participates in various department initiatives, meetings and projects related to data or inventory management with both internal and external colleagues.

  • Capable of performing analytics of data and preparing documents for leader review.

Preferred: Customer Service Experience (greater than 3 years)

Experience in an OR/Sterile Processing Environment (greater than 3 years)

Experience utilizing Epic

Experience utilizing SPM or similar inventory tracking system.

Experience using PeopleSoft eBuy.

Experience using IMS Ready.

Core Sterile Processing functions include receiving, sorting and decontamination of surgical/clinic items and instrumentation; inspection and packaging of single instruments and instrument kits; identification of appropriate sterilization method and cycle selection, appropriate documentation for all sterile processes; and accurate inventory assignment relating to the case cart build process. Principle Duties and Responsibilities: Must be able to perform all duties in accordance with the MGH Policies and Procedures. International Association of Healthcare Central Service Materiel Management (IAHCSMM) and/or the Certification Board for Sterile Processing and Distribution, Inc. (CBSPD) standards and procedures should be understood and followed. Responsible for obtaining and maintaining CRCST or CBSPD at all times during employment. Decontamination and Cleaning of Reusable Medical Devices * Utilizes approved PPE as appropriate. * Receives soiled, used, and/or contaminated equipment, surgical instruments, scopes, and supplies from Operating Rooms, patient care units, and specialized areas; documents arrival and cleaning process utilizing SPM. * Disassembles items as needed before choosing appropriate cleaning method. * Identifies items in need of repair upon receipt and ensures information is maintained during cleaning process. * Selects and utilizes appropriate manual cleaning tools to achieve instrument decontamination, including but not limited to instrument brushes, enzymatic detergent, flushing devices, ultrasonic bath, leak tested * Selects and utilizes appropriate automated cleaning tools to achieve instrument decontamination; this includes loading and selecting appropriate cycles on automated washers. * Cleans work area by wiping area with antibacterial agent upon work completion or as needed. * Other duties as assigned Assembly and Packaging of Reusable Medical Devices * Documents all work performed utilizing instrument tracking software SPM. * Inspects and assembles all equipment, instruments, scopes, and instrument sets following product recipe, verifies items are functional, free of debris and required per instrument recipe. * Documents items missing from instrument set, escalating set to CSPS Clinical Operations Supervisor or Designee for further guidance. * Identifies and places appropriate internal indicator as required. * Selects appropriate packaging method, including any sterilization accessories (corner protectors ect); ensures all external indicators and/or labels are securely affixed to item. * Transports items to sterilization as needed. * Maintains clean and organized work area, ensuring workspace is functional for peer use upon work completion or as needed. * Other duties as assigned. Sterilization and High Level Disinfection of Reusable Medical Devices * Interprets package labeling to select appropriate sterilization method and approved cycle, options include Steam, ETO, STERRAD, or other as required. * Inspects packages to ensure all external indicators, filters, and/or labels are securely affixed to items, returns non satisfactory products to instrument room. * Loads sterilizer as appropriate to ensure cycle completion; includes biological testing as appropriate. * Performs routine sterilizer testing including biological monitoring, leak test, and bowie dick test as appropriate. * Following established policies interprets and appropriately documents results of sterilizer testing. Escalates positive results as appropriate for intervention. * Removes and inspects items from sterilizer utilizing approved methods to preserve package integrity. * Following established procedures selects appropriate High Level Disinfection method, manual (Cidex OPA) or automatic (AER), for heat sensitive instruments, equipment or flexible endoscopes. * AER options include STERIS System 1 E, Medivator, Custom UltraSonic, or Trophon. * Performs ATP testing on endoscopes as required. * Utilizes approved PPE as appropriate. * Performs daily AER maintenance in accordance with established policies and procedures, documents appropriately. * Performs daily Cidex OPA maintenance in accordance with established policies and procedures, documents appropriately. * Other duties as assigned. Inventory Management and Case Cart Build * Utilizes patient specific pick lists to accurately gather surgical instruments and disposable supplies requested by attending surgeon or other Peri-Operative representative. * Documents case cart build process in SPM, continuously updating the record as items are fulfilled to maintain integrity of needs list. * Inspects items during the pick process to ensure package integrity remains intact, package is within expiration date, and substitutions are appropriate. * Communicates unmet surgical supply requests to leadership for resolution assistance. * Returns supplies not used after surgical procedures to their proper stock location. * Modifies picking order as directed by CSPS Clinical Operations Supervisor based on changing OR Surgical Schedule. * Other duties as assigned. Skills & Competencies Required: * Excellent organization, operations, people management, and problem solving skills are essential. * Must be able to speak, read, write and understand medical terminology in order to follow written instructions and complete various forms and records regarding equipment processing and preparation of equipment. * Must have working knowledge of computer programs; proficiency in Microsoft Word, Excel, Outlook, and exposure to instrument tracking software. Existing knowledge of EPIC and SPM are preferred. * Ability to multi-task is critical.
