About Us:

The Ohio Office of Criminal Justice Services (OCJS) is a division of the Ohio Department of Public Safety and the lead justice planning agency for the state of Ohio. OCJS administers grant funds to Ohio's criminal justice constituents, and coordinates Ohio's comprehensive criminal justice plan. The agency safeguards federal and state criminal justice funds against waste to maximize the resources available in Ohio's fight against crime. Grants are monitored for compliance, audited for accuracy, and evaluated for effectiveness.

OCJS also houses its own team of researchers and policy specialists who provide practitioners and policymakers with valuable information on many of the critical criminal justice issues facing our state. A substantial amount of this data is obtained from the Ohio Incident-Based Reporting System, which is one of the state's most significant justice technology links. Lastly, OCJS facilitates several high-priority initiatives from the Governor's office, including the Anti-Human Trafficking Task Force, and the Ohio Collaborative on Police-Community Relations.

What You'll Do as a Criminal Justice Planning Specialist:

This position may work 3-days in office & 2-days at home, after the initial training period. Subject to change.

Plan, monitor & evaluate criminal justice grant programs for organizations receiving &/or requesting grants administered by the Office of Criminal Justice Services (OCJS), Grants Administration section (e.g. monitors & evaluates program compliance & effectiveness; serves as first point of contact to program participants & grant recipients; inform potential applicants about various programs & eligibility requirements; assist applicants with developing grant program goals & objectives; outline policies & procedures relative to the use of the funds); Review & process submitted grant applications for program participation (obtain & maintain working knowledge of any relevant grants management system(s)); Provide technical assistance to subrecipients on completing applications in general, filing adjustments, completing QSRs, completing pre-award conditions, making sure award documents contain correct signatures, etc.; Conduct compliance reviews on grant applications to determine eligibility & discuss past compliance; Provide applicable program information for funding recommendations; Prepare, review, & approve pre-award conditions for applicants; Prepare award documents & gather appropriate approval signatures; Assist new subrecipients with registering in Shared Services for Supplier IDs.

Collect & review sub-grantees programmatic & grant performance information submissions; Review Quarterly Sub-grant Report for accurate information & documentation; Review & approve budget & programmatic adjustments for completeness, relevant justification, & allowable activities & expenditures; Prepare a monthly compliance report inclusive of all grant programs to ensure submission of required documentation; Contact sub-grantees to resolve any discrepancies; Complete cancellations &/or refunds as required based on review of final expenditures; Collect proper documentation for closeout of sub-grants & ensure all fiscal & programmatic information is received prior to executing a sub-grant closeout notice; Verify OAKs information for subrecipients & input the correct information on forms to ensure payments are made to proper entities; Ensure accuracy of information that will be entered into OhioBuys to produce Purchase Order information.

Maintain master electronic &/or paper (when applicable) files on all sub-grantees; Assist in the development of policies & procedures relative to grants administration that align with state & federal guidelines; Establish open communication with grants administration staff & other agency staff; Respond to inquiries from constituents, government officials & other external individuals; Perform other related duties as assigned (e.g., assist with special projects, attend trainings & meetings, administrative duties, etc.).

2 yrs. trg. or 2 yrs. exp. in planning & monitoring criminal justice programs.

  • Or completion of undergraduate major core program in criminal justice or related field of study (e.g., penology).
