The Credit Administration Assistant provides technical, administrative, and clerical support within the Credit Administration Department. This position works primarily with the collection officers and assists in the management of the collection process. Duties include reviewing loan documents for accuracy and adherence to loan policy and procedures; performing data entry; facilitating letters related to the collection and workout of delinquent commercial, consumer and mortgage serviced loans; managing the imaging processes within the department; monitoring the credit administration mail box; preparing delinquent/maturing loan reports and assisting with real estate valuation ordering.
Essential Duties and Responsibilities
Loan Production and Closing:
Request and review UCC pre-searches, flood zone determinations, credit reports, preliminary title reports, environmental reports and appraisals. Independently resolve exceptions related to securing collateral position and elevate resolution processes as appropriate.
Prepare demand letters and obtain loan payoff figures to include related loan expenses.
Review and validate borrower ownership structure and signing authorities.
Assist Special Credits Officers in preparation of Credit Memorandums and the facilitation of the associated documentation; preparation of demand letters and loss mitigation packages and booking processes according to Northrim Bank underwriting guidelines, policies and regulations.
Assist in the facilitation of commercial, consumer and mortgage serviced collection activities.
Maintain accuracy of the bank's Asset Quality Rating system for accounts assigned to Credit Administration. Ensure loan and customer information is represented accurately in the core system.
Prepare Shadow Accounting Boarding Data forms related to non-accrual loans for processing by Loan Support Services.
Monitor the Credit Administration Mailbox to ensure timely and appropriate responses. Take action or elevate as needed.
Manage the imaging processes within the department.
Assist Special Credits Officers to create liquidation, foreclosure, litigation loan files, and related attorney packages.
Change officer designations in the core system for loans and related accounts when transferred to Credit Administration. Facilitate copying, distribution, and imaging of Charge-off memos, Problem Loan Reports, and Loan Classification Change forms.
Assist in managing the Deceased Borrower Workflow.
Assist in preparation of delinquency reports and tracking.
Provide back- up for the coordination of functions relating to Baker Hill including troubleshooting end-user issues.
Process expense invoices.
Order and maintain department office supplies.
Perform other duties as assigned.
Knowledge & Communication Skills
UCC, loan documentation and security perfection knowledge preferred.
Ability to understand Bankruptcy Codes pertaining to Chapter 7 and Chapter 11, as well as various collection regulations is preferred.
Knowledge of business ownership types, loan practices and regulatory compliance issues related to lending.
Exceptional customer service skills required. Ability to communicate effectively with customers, vendors, staff, and management, and represent the Bank in a professional manner.
Must be able to communicate effectively in the English language, to include composition of typical business correspondence and appropriate telephone techniques
Analytical & Decision Making Skills
Ability to add, subtract, multiply and divide using whole numbers, common fractions, and decimals.
Work is complex requiring a skill set to resolve challenging issues on a regular basis
Ability to prioritize and complete work assignments without specific instructions and close supervision. Work is performed under general directions from a manager/supervisor.
Demonstrated ability to effectively organize job functions and assess priorities in completing these functions.
Must be professional, productive, innovative, and self-motivated.
Computer/Software/Other Equipment Skills
Ability to operate standard office equipment.
Intermediate knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.
