Job Summary

Under general direction, the credentials evaluator 2 has responsibility for reviewing, analyzing, and evaluating a wide variety of educational transcripts for academic programs and the college. Provides customer service to faculty, staff, prospective, current, former students and their families, and the general public.

Essential Functions

  • Evaluates all incoming educational credentials.

  • Uses all available resources, including college catalogs, course descriptions, syllabi, and the Transfer Evaluation System (TES) to transfer in appropriate coursework onto an incoming student's transcript.

  • Records entries, monitors record accuracy, and makes corrections as necessary. This includes, but is not limited to, international transcripts, military transcripts, credit for prior learning, and credits earned at the high school for career technical education.

  • Audits all graduating student transcripts.

  • Compares courses taken and successfully completed by students with course and program requirements to determine if students have earned their respective certificates and/or degrees.

  • If earned, posts certificates and/or degrees on transcripts and ensures credentials are awarded properly upon graduation.

  • Evaluates student credentials for acceptance into programs with separate/additional admissions requirements.

  • Reviews special admissions program guidelines then evaluates academic credentials based on those guidelines, in concert with respective programs/departments.

  • Provides consultation for departments, students, other institutions, and the public on a variety of matters concerning admissions, graduation procedures, and academic programs, as well as assisting in creating educational plans on an as needed basis.

  • Creates and maintains digital and paper student files and records.

  • Scans and files documents.

  • Establishes, organizes, and maintains records according to state and WVC records retention plans.

  • Supports the direction of front-line staff as needed.

  • Maintains college Academic Advising Requirements (AAR - degree audit) in ctc

  • Works with advisors, faculty, staff, and students to ensure they know how to operate the AAR and understand how it works.

  • Participates as needed in committees across campus to ensure cohesiveness between student services and instruction.

  • Creates new and maintains current cross-walks for equivalent courses across the state and region.

  • Assists front-line staff with college admission applications during peak times and customer service.

  • Provides customer service, including assisting students at the front desk, answering the admissions and registration phone lines, and responding to emails.

Qualifications

Minimum Qualifications:

  • High school diploma or equivalent.

  • Two years related experience in customer or student service.

  • Proficiency with computers and software applications.

Preferred Qualifications:

  • Associate in arts or higher degree.

  • One year of experience in WA state ctc

Link student management system (PeopleSoft) or equivalent system such as Banner.

  • One year of experience evaluating transcripts and graduation applications.

  • Two years of experience in an Office of Admissions and Registration.

  • FERPA knowledge; experience working with confidential legal documents.

  • Bilingual written and oral in Spanish/English. Comfortable translating and engaging the community in both languages.

  • Demonstrated competency and experience working in a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, gender and racial/ethnic backgrounds and those with physical, emotional and/or learning disabilities.

  • Ability and willingness to foster collaborative relationships with other departments on campus and/or within the community.

  • Ability to remain positive and encourage others through large-scale change.

  • Experience creating digital content (such as Word/PDF documents and web and learning management system content as appropriate to the role) in accessible formats.

Knowledge, Skills, & Abilities

  • Demonstrated ability to use exceptional communication and interpersonal skills demonstrating professionalism, empathy, diplomacy, discretion, and integrity in interactions with diverse constituencies.

  • High level of proficiency and accuracy in software packages including word processing, spreadsheets, and database applications.

  • Quality: Accurate and thorough, prepare detailed reports, evaluate processes to identify ways to improve and promote quality.

  • Professionalism: Approach others in a tactful manner, react well under pressure, treat others with respect and consideration and follow through on commitments.

  • Ability to assess situations, exercise independent judgement, resolve issues and coordinate with IT support services when technical issues arise.

Additional Information

Terms of Employment:

The current vacancy in Enrollment Services is a full-time, overtime and benefit eligible position expected to begin as soon as possible. The starting salary is $39,804 annually ($19.06 per hour) with periodic increases and earning potential to $45,732 annually. The list established by this recruitment will be active for a minimum of three months and be used to fill this position only.

Physical Requirements:

  • Work is typically performed in an office setting and requires the ability to sit/stand, perform computer data entry, and operate general office equipment for extended periods of time.

  • Must have the ability to use a computer and a variety of office equipment.

Work Schedule & Environment:

  • Work hours are generally 8 a.m. to 5 p.m., Monday through Friday; hours and days may change depending on the needs of the college.Work in a busy office environment with frequent interruptions and distractions.

Conditions of Employment:
