The Creative Operations/Traffic Manager is responsible for getting work and projects through the Creative Services shop efficiently and effectively. This role manages work activities of a Creative Services team, contractor staff and vendor resources for ensuring smooth and timely delivery of product across the full range of creative services (photography, video, design and print production). The Creative Operations/Traffic Manager maintains a high service ethic to meet the evolving needs of the laboratory's stakeholders including researchers, administrative, and leadership. They are responsible for the implementation, management, and improvement of creative workflow, operational efficiencies, scalability, capacity, cost reporting and delivery of on brand, quality product and service. The Creative Operations/Traffic Manager responsible for supervising a small team and providing management, assignments, tasks to direct reports and other staff.

A successful candidate would be able to establish and execute project management with rigor and discipline which includes resource and communication controls for scope, schedule, cost, risk, and quality expectations.

Primary Activities:

  • Conduct workflow management, load balancing, task/project/campaign dependency identification. Monitor and audit closely to ensure work is completed on schedule and on budget. Summarize details upon completion.

  • Support creative services leadership in the development and implementation of policies and procedures for efficient, effective creative operations across multiple departments and assist in the management and maintenance of brand assets. Ensure that process, procedures, and communications are streamlined, concise, organized and effective.

  • Develop, monitor and maintain consistent and accurate service levels through process documentation including estimate versus actuals to ensure standardized approach and delivery.

  • Maintain strong relationships to foster productive interactions with other members of the creative services team (art director, designers, contractors), internal clients (communications and scientific/programmatic), and outside vendors.

  • Onboard, train and monitor new staff and contractor resources for proper time management and reporting.

  • Produce accurate and meaningful operational reports, traffic, trend and metric reports.

  • Conduct daily/weekly meetings with staff and resources. Ensure team productivity and accurate reporting.

  • Proactively anticipates, manages and responds to customer inquiries related to production and delivery including collaboration and partnering with accounting, human resources, and communication to facilitate solutions.

  • Offer customer guidance and best practice on available creative solutions and services while building and establishing an available menu of services, costs and SLA's.

  • Work with managers of design and strategy to facilitate scalable enterprise solutions and collateral.

Position Requirements

Required Knowledge, Skills & Experiences:

  • Knowledge, of graphic design, multi-media, and production principles and practices.

  • Knowledge of Macintosh-based and PC-based software packages for illustration and design.

  • Experience in project scheduling and cost estimating.

  • Comfortable with learning and mastering proprietary software for project intake, cost and effort reporting.

  • Strong verbal and written communication skills and ability to manage multiple priorities.

  • Knowledge of Environment, Safety, Health and Laboratory policies and procedures.

  • Knowledge of state-of-the-art technology in digital graphics tools.

  • Capability to address the needs of customers in a scientific and non-technical environment.

  • Knowledge of photography, video and print production.

  • Bachelor's (or equivalent) in Communications, Marketing, Business or related.

  • 7-10 years of experience (Total).

  • 5+ years of specialized experience (e.g. supervision).

  • Experience in managing and leading a team and assigning work tasks to staff.

  • Passion for the mission of the Lab.
