Job Summary:

The Continuous Process Improvement (CPI) Coordinator is responsible for providing support to the VP of CPI and the CPI team by coordinating activities related to any and all projects and initiatives that fall under and align with CPI department. This role's main duties are to monitor project and initiative progress, follow-up with stakeholders on the completion or delay of project phases, schedule meetings, and maintain project documents and reports. This individual will also assist with the planning and coordination of projects from ideation to completion and have the ability to take on administrative duties and independently manage some project elements. This may include collecting and analyzing data, identifying root causes, implementing solutions and monitoring results. The CPI Coordinator will partner closely with members of internal teams as well as external agencies and nonprofit partners to elevate the efficiency and collaboration necessary to complete all projects and initiatives. The CPI coordinator helps spread the culture of Lean Six Sigma at Diversus Health, by sharing best practices and mentoring others.

Essential Functions:

  • Supports efforts associated with successful execution of all project tasks as directed by the VP of Continuous Process Improvement

  • Establishes project work plan and calendar or schedules; monitors, reviews, and evaluates progress

  • Prepares records of project activities; oversees and ensures the timely processing in and the delivery of required materials

  • Organize, attend, and participate in stakeholder meetings

  • Maintenance of detailed project documentation including meeting minutes, communication plans, action items, and risk management plans for all Performance Improvement Projects and Initiatives

  • Document and follow up on critical actions and decisions from meetings

  • Prepare periodic reports and presentation materials for meetings

  • Communicating with stakeholders regarding project needs and goals

  • Support the development of project strategies and best practices

  • Support the coordination, planning, and management of projects

  • Ownership of discrete, delegated project tasks during the project lifecycle.

  • Researching information as required

  • Performing administrative tasks such as preparing agendas, schedule meetings, light editing and proofreading etc.

  • Keep track of and reporting on project progress

  • Manage project shared folders, collaboration sites, documentation, and other materials

  • Escalate project escalations as appropriate in a timely manner and assist in resolution with internal stakeholders.

  • Completing any tasks assigned by the VP of CPI in an efficient and timely manner.

  • As a member of Performance Improvement team, the employee is expected to embrace and contribute to our culture of process improvement with a focus on streamlining our processes adding value to our business and meeting client needs.

  • Meets defined individual and department goals, activity metrics and Key Performance Indicators

  • Regular and consistent onsite attendance is required to perform essential functions of the job

  • Complete other duties as assigned

This position may require you to work standard hours, as well as flexible hours both before and after standard hours, may include work in excess of 40 hours in a work week as necessary to the position's needs.

  • Mobility Clause: Based on business need, this position may be needed to work and/or travel on a temporary basis at any premises which the agency currently has or may subsequently acquire or at any premises at which it may from time to time provide services. This position may require that the employee travel with or without notice as needed within the scope of the position responsibility.

Knowledge/Skills/Abilities:

  • Exceptional communication skills, both verbal and written

  • Proven project management skills; ability to manage multiple projects and/or tasks at the same time

  • Ability to adapt quickly to changing priorities and work under multiple, aggressive deadlines

  • Highly organized and able to multitask

  • Strong attention to detail and problem-solving skills

  • Able to problem solve and work independently with minimal supervision and as part of a team

  • Strong analytical and logical reasoning skills

  • Strong interpersonal skills with the ability to communicate with all levels of organization clearly and concisely

  • Competency in Microsoft applications such as Word, Excel, Outlook, and PowerPoint. Experience using other Microsoft tools such as Project and Visio will provide added-value

  • Knowledge and experience of content management systems such as SharePoint and Virtual Management devices and administrative procedures such as Zoom, Microsoft Teams are a PLUS

Education/Experience/License/Certificates:

  • Bachelor's Degree in Business or related field of study required;

  • Master's in Business Administration (MBA) or Healthcare Administration, preferred

  • 2-3 years of project coordination and/or project management experience

  • Lean Six Sigma Green Belt certified, preferred, or certification to be obtained within one year

  • Previous experience working in the healthcare service sector and/or healthcare operation programs preferred
