JOB SUMMARY

Under the supervision of the Court Administrator, the Court Clerk performs general duties in the municipal court of law as assigned. include assisting defendants with the disposition of their cases at the front counter, responding to public inquiries in person and via telephone, receipt and record payments of fines, fees and costs, assists with the preparation and maintenance of court files and processing online requests for deferred disposition and driving safety course. The candidate must be able to work independently with minimal supervision. Level 1 TMCEC Clerk Certification is preferred. If the candidate does not have this certification, one must be obtained within eighteen (18) months of hire and must be maintained in accordance with TMCEC requirements. EDUCATION/TRAINING/EXPERIENCE

  • High School diploma or equivalent.

  • One (1) year of Municipal Court experience required

  • TMCEC Level 1 Certification preferred

  • TMCEC Level 1 Certification required to be obtained in 18 months.

LICENSES OR CERTIFICATES

  • Must be bondable.

  • Must possess a valid Texas Driver's License.

LANGUAGE SKILLS

  • Ability to read, write, and speak English fluently.

  • Bilingual preferred, not required.

ESSENTIAL JOB FUNCTIONS

  • Enter, import and process traffic, parking, penal code and city ordinance violations.

  • Accept payment of municipal court fines, fees and bonds and reconciles all monies daily for deposit

  • Assist with preparation of court docket, summons of jurors, witnesses and officers' subpoenas

  • Prepare case files and court records and prepare them for court

  • Assist with scheduling cases for hearings, arraignments, pre-trials, judge and jury trials

  • Perform clerical duties such as filing, answering phones and data entry

  • Perform data entry for various court records such as citations, payments, disposition of cases, case updates, applying and forfeiting cash bonds, applying credit for time served, etc.

  • Answer questions and give information, either by telephone or in person, to citizens, attorneys, litigants, and other law enforcement or state agencies.

  • Process and dispose of cases as a clerk in the courtroom during hearings, arraignments and trials

  • Process requests for payment plans, extensions to pay and community service in accordance with the Judge's standing orders

  • Process mail and online requests for driving safety course and deferred disposition

  • Prepare documents and forms such as subpoenas, complaints, summons, warrants and all other forms needed by judges, attorneys, defendants, witnesses, jurors, etc.

  • Process letters of representation, motions, summons and discovery requests received from attorneys

  • Prepare and process correspondence for defendants regarding past due citations, court settings and other status updates as required by State law

  • Performs all other related duties as assigned.

OTHER SKILLS, ABILITIES & REQUIREMENTS

  • Must be able to work in a fast-paced environment in a friendly and courteous manner.

  • Must attend annual trainings to maintain Clerk Certification and to maintain working knowledge of state laws and municipal court processes

  • Self-motivated with the ability to establish and meet deadlines with minimal supervision

  • Positive attitude in dealing with the public, judge, court administrator and co-workers.

  • Demonstrate a willingness to perform duties in a team environment.

  • Possess basic level computer skills in the use of PC based spreadsheet and word processing applications, preferably MS Excel and MS Word.

  • Requires considerable knowledge of the practices and procedure of the municipal court system, including

  • confidentiality requirements.

  • Perform any and all ministerial duties as assigned.

  • Requires the ability to exercise professionalism, tact, courtesy and firmness in frequent contact with defendants, outside agencies and court officials.

  • Coordinate, prioritize and manage multiple projects and/or assignments.

  • Be thorough and detail-oriented in the processing and disposition of cases

REASONING ABILITY

  • Ability to interpret a variety of instructions furnished by management in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to operate various machines and/or equipment; and reach with hands and arms. The employee frequently is required to talk and hear. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
