The Office of the University Registrar (UREG) seeks a Course Scheduling Specialist to join its Course Scheduling Team. As a member of this team, the Course Scheduling Specialist will share responsibility for creating and maintaining the academic course information in the institution's student information system, PeopleSoft (SIS), that is related to scheduling classes and assigning academic space. This includes preparing the Schedule of Classes each term and using the institution's academic space scheduling tools, Optimizer and 25Live, to allocate and manage use of instructional space in collaboration with schools, academic departments, and other units. Successful candidates will be able to communicate and collaborate effectively with team members and personnel throughout UVA to create a sense of shared ownership for all course-related processes. This includes working effectively with faculty members, department chairs, and other school and departmental contacts.
Create Schedule of Classes and final exam schedule (including room assignments) each term
Collaborate with academic departments to articulate clear processes and standards for creating Schedule of Classes each term
Manage requests for extracurricular use of academic space on a day-to-day basis. Respond to space requests within one business day, when feasible
Monitor room requests in the SOURCE
Process requests from current and former students received through National Student Clearinghouse, U.S. mail, email, and in person in a timely manner (usually within two business days or less) and without errors
Update information accurately in UREG's Customer Relations Module (CRM)
Respond to queries related to on-line transcript request processes; troubleshoot problems; work collaboratively with other team members to resolve issues or recommend solutions
Must be detail-oriented, highly organized, and capable of working under limited supervision

Working knowledge of MS Office/Office 365 and reporting tools
3+ years working with student information systems (ideally Peoplesoft) and/or room scheduling applications (ideally 25Live)
3+ years working in academic office within a higher education institution
Knowledge of student information systems, ideally Peoplesoft
Knowledge of 25Live
Demonstrated ability to analyze and present data for purposes of developing process improvements
Ability to independently research topics pertaining to position responsibilities, develop recommendations, and implement accordingly
Understanding and appreciation for UVA's educational mission, strategic aims, and programs
