Summary of Job Duties
Under the direction of the Council/Mayor Management Analyst, performs a variety of complex administrative, clerical and public contact duties to support the operations and constituent services of the City Council and/or the Mayor.

Primary Duties and Responsibilities
Taking notes that accurately reflect the decisions and discussion that took place during meetings.
Compiles and prepares a variety of materials, documents and correspondence including proclamations and input into Council Request system
Develops and maintains a variety of filing and record-keeping systems
Prepares and keys a variety of materials including reports, statistical data, documents, and manuals
Opens, sorts and distributes incoming mail
Maintains office supplies
Serves as a receptionist
Responds to general inquiries
Prepares printing/graphic requests and maintains inventory of envelopes and stationery
Maintains weekly Tracking Report
Prepares Council packets for delivery to City Council and/or the Mayor
Assists in preparation for workshops and meetings including arrangements for catering
Gathers data on a variety of topics and prepares the data for analysis
Operates a variety of office equipment including personal computer and related software
Assists in maintaining Council members' and/or the Mayor's calendars; and performs additional duties as assigned.
Per Department Guidelines, overtime will be paid in the form on comp time/leave. Minimum Qualifications
Education: Associate's Degree in office administration, business administration, or directly related field. An equivalent combination of training and experience may be considered.
Experience: At least 4 years progressively responsible administrative support experience including at least two years supporting upper level management. An equivalent combination of education, training and experience that demonstrates required knowledge, skills and abilities may be considered.
Knowledge of business English, math, office administration practices and procedures, composition, grammar, formatting and proofing of documents; and personal computer with related software applications.
Abilities: Ability to establish and maintain effective working relationships with employees and citizens; maintain confidentiality about sensitive situations using tact and diplomacy, organize and prioritize workload; and operate personal computer with word processing software.
Efficiently and accurately key information using a keyboard; skill in operating a computer with related software applications.
LICENSES, CERTIFICATES, OR EQUIPMENT REQUIRED: This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.
Physical Demands: Light to sedentary physical work requiring the ability to lift a maximum of 25 pounds; occasional lifting, carrying, walking, and standing; frequent hand/eye coordination to operate office equipment; vision for reading, recording, and interpreting information; frequent speech communication and hearing to maintain communication with employees and citizens.
Work Environment: Works primarily in clean, comfortable environment.
Equipment Used: Frequently uses standard office equipment including typewriters, computers, calculators, copy/fax machines, and multi-line telephones.
