Job Overview
The Correspondence Manager is an integral member of the office's communications team and will provide managerial support toward the team's correspondence function, in alignment with the University's mission and the priorities of the President.
They support the Director of Presidential Correspondence in developing written presidential correspondence; and facilitate thoughtful, consistent, and personalized communication to maintain and develop relationships in both professional and personal contexts.
As well, they monitor a dynamic correspondence flow and manage the continuous improvement of systems and processes that strengthen the tracking, coordination, and preservation of written correspondence.
Responsibilities
Develop intentional, concise, and polished written products, which include preparing drafts, editing, and distributing presidential correspondence, including long-form reports, invitations, letters/memorandum, and similar communications
Develop a clear understanding of the President's writing style, goals, and anticipate opportunities for proactive and responsive outreach
Engage in relevant research, drafting, and editing of written correspondence for a wide range of recipients
Monitor and review incoming correspondence, including hard copy and electronic mail; and make recommendations to improve processes for receiving, tracking, and sending written communications
Maintain (electronic) records of incoming and outgoing correspondence, including hard copy and electronic mail
Collaborate with other communications colleagues on planning and executing both day-to-day assignments and special projects
Requirements and Qualifications
Bachelor's degree
3 to 5 years of professional related experience
Exceptional writing and editing skills
Keen attention to detail and strong organizational skills
Strong communication, listening, and interpersonal skills
Flexible and adaptable, including a willingness to execute both mundane and complex tasks at a high quality level
Collaborative spirit in working across teams, at times under tight deadlines and with limited information
Experience in maintaining confidentiality and privacy, and the ability to work discreetly on sensitive assignments
A high degree of personal integrity and ethics and the ability to demonstrate respect and sensitivity for cultural differences
Curiosity, self-motivation, flexibility, and a highly collaborative approach
Preferred Requirements
Experience supporting executive leadership
Experience in higher education administration or academic setting
Interest in higher education and communications
Interest in relationship management
