CORRECTIONAL RECORDS TECHNICIAN LEAD

Washington State Penitentiary (WSP)

The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for this position of Correctional Records Technician Lead for the Washington State Penitentiary (WSP) located in Walla Walla, Washington.

This recruitment may be used to fill future vacancies that may occur.

The Washington State Penitentiary is staffed 24-hours a day, 7-days a week.

The Department of Corrections (DOC), as a partner in the criminal justice system, enhances public safety, administers criminal sanctions and programs in accordance with the law and provides leadership for the future of corrections in Washington State.

The Department consists of the Office of the Secretary, Prisons Division, Community Corrections Division, Administration Services Division, Health Services Division, Communications Department and Risk Management Department.

The Washington State Penitentiary (WSP) is comprised of 4 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 2 Medium Units, 2 Minimum Housing Units, and a Health Services Building.  In all, WSP houses approximately 2,000 male Incarcerated Individuals and employs approximately 1,100 staff.

  • Review and verify Incarcerated Individuals sentence structure and criminal history information.

  • Ensure the contents of Incarcerated Individuals records are legal, accurate, and maintained in secure setting.

  • Review and verify accuracy of legal documents.

  • Verify electronic database information against source documents.

  • Verify identification of Incarcerated Individuals to law enforcement by using physical descriptions.

  • Responsible for accuracy of sentence calculations.

  • Maintain electronic and physical files.

  • Utilize, update, and maintain databases and programs.

  • Enter information into the Department's electronic Incarcerated Individuals database.

  • Maintain confidentiality.

  • Conducts central file audits.

  • Work with the Indeterminate Sentencing Review Board (ISRB).

  • Provide effective communication and thorough and timely request processing.

  • Respond to requests for public disclosure.

  • Testify in court as an expert witness regarding the validity of Incarcerated Individuals records and identity.

  • Provide direct support to the Records Management Supervisor.

  • Correspond with appropriate court or legal staff.

  • Complete appropriate Incarcerated Individuals records paperwork.

  • Respond to incarcerated individuals kites and kiosk.

  • Records Office Lead to WSP Correctional Records Technicians

  • Prepares and checks upcoming release audits.

  • Back up CRTs in their absence.

  • Provide training to staff located at the WSP records office.

  • Supervise, approve leave requests and perform evaluations on clerical staff.

  • Complete proper processing of in-state and out-of-state detainers, warrants and related documents.

Required Qualifications:

  • High School diploma or equivalent.

  • Two (2) years' experience maintaining or processing Incarcerated Individuals legal files in a governmental law enforcement office, court setting, or an adult or juvenile correctional agency.

  • Must Respect and Maintain Confidentiality.

  • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.

  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.

  • NOTE: Incarcerated Individuals records are defined as records containing certified copies of original documents reflecting the offender's crime and sentence. Incarcerated Individuals records are not property files, grievance files administrative files, treatment files, slough files, parole files counselor files or custody files.

  • Must Respect and Maintain Confidentiality.

  • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.

  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.

  • Observation- Observes and strategizes personal action based on environmental conditions and human behavior.

Technology- Learns and utilizes computer based applications in the performance of job duties.

Stress Tolerance- Remains calm and rational while handling difficult situations including, but not limited to, volatile, threatening, or other crisis/emergency situations.

Professional Standards- Knows and applies relevant law, policy, procedure, and practice. Adheres to productivity standards and timelines established by law and policy. Identifies own training needs and proactively seeks training opportunities.

Adaptability- Incorporates new information into an existing framework of understanding. Accepts change and supports Agency through changes in law, policy and procedure.

PREFERRED/DESIRED QUALIFICATIONS

  • Four (4) years' experience maintaining or processing Incarcerated Individuals legal files in a governmental law enforcement office, court setting, or an adult or juvenile correctional agency.

  • College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute, year for year, for up to two years of experience.

  • Knowledge of criminal history document processing.
