Corporate Services Administrator will be responsible for assisting the Legal department with day-to-day administrative tasks and assignments; communications within the department, the corporate office, branch locations, and outside parties; managing the schedules and travel arrangements for the department; administering and maintaining records for various legal documents and workflows; reviewing and making necessary adjustments to various contracts to ensure they comply with company requirements; receiving and processing all invoices the department receives; and receiving and processing subpoenas and other requests for legal documentation.

  • Ability to work in an intense environment with minimal social interaction

  • Pleasant phone presence with the ability to communicate effectively

  • Identify, manage and prioritize workloads and conflicting priorities

  • Work with other departments in the recording and maintenance of leases

  • Create and track correspondence regarding new and/or ongoing claims or law suits

  • Create and maintain records of various legal documents

  • Complete administrative forms

  • Receive, process and ensure payment of invoices from outside vendors

  • Create, maintain and manage various documents and files

  • Edit contract language with instruction from supervising attorney

  • Organize large amounts of information into a coherent, meaningful format in a timely manner

  • Identify the need for, gather and organize information from various parties

  • Copy, scan, file, organize, and mail correspondence and other legal documents

  • Manage Legal department schedule, travel, expenses, and MS Outlook calendar

  • Perform other duties as assigned by supervising attorneys as needed

  • Maintain professional appearance

Preferred Qualifications:

  • Five (5) years of professional office environment experience

  • Proficient in MS Excel, Word, Power Point and Outlook, as well as SAP and Concur
