Job Function / Purpose

Professionally answer a high volume of incoming calls through an electronic switchboard, direct calls appropriately, greet visitors and perform general clerical tasks at Gyrodata, Inc.'s Houston, Texas facility

Essential Duties

  • Professionally answer a high volume of incoming calls through an electronic switchboard

  • Operate Alcatel-Lucent phone system attendant station

  • Direct calls to appropriate employees

  • Greet and direct all visitors, including vendors, clients, job applicants and customers in a professional, friendly, hospitable manner

  • Assist Building Services Office Administrator with scheduling lobby area and conference rooms

  • Assist Building Services Office Administrator with coordination of meetings and catering

  • Assist Facilities Manager with processing purchase orders for Building Services

  • Develop general understanding of the building systems (ie. alarms, mechanical rooms, etc.)

  • Order business cards for new hires and existing staff

  • Type memos, correspondence, reports and other documents

  • Operate basic office equipment

  • Sort and route incoming deliveries

  • Assist Building Services Office Administrator with special administrative projects

  • Assist with clerical or administrative overflow work from various departments as needed

  • Occasionally respond to alarm events or facility emergencies as necessary during non-office hours

HSE Function

Comply with applicable safety standards and maintain a safe working environment

QA Function

Comply with applicable quality assurance standards

Required Qualifications

  • Strong written and oral English communication skills

  • High School Diploma or equivalent

  • 1 year of receptionist experience, including customer service

  • Excellent phone etiquette

  • Professional appearance

  • Ability to use a computer for accessing and sending e-mail, opening and revising documents, accessing internet and web-based Gyrodata, Inc. systems, including SharePoint, Agresso and ability to use Microsoft Office, including Word, Excel and PowerPoint.

Preferred Qualifications

Associates degree or some college coursework competed

Working Conditions

The job is performed in an office environment with minimal exposure to safety hazards. The job requires some physical exertion, including sitting, standing, occasional light lifting, carrying, pushing and pulling. The job requires operation of standard office equipment, including computers, telephones, copiers, etc. The job requires following written and oral instructions, attention to detail, ability to multitask, ability to work with others and ability to meet deadlines. The job requires following established policies and procedures, meeting quality and safety standards and regular attendance.
