Summary

The Corporate Executive Assistant is responsible for supporting the Chief Executive Officer (CEO) with any tasks related to the continuity of business operations for TGS Global and its affiliates. Responsibilities include managing data, organizing correspondence, schedules, and timelines to completing other business-related tasks outside of the corporate office. The objective of the Corporate Executive Assistant is to alleviate administrative burdens from the CEO.

Essential Duties and Responsibilities

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics for executive review

  • Conserves executives time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications

  • Maintains executives appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

  • Represents the executive by attending meetings in the executives absence; acts as scribe

  • Welcomes guests (investors) by greeting them, in person or on the telephone; answering or directing inquiries

  • Maintains confidentiality with Executives and Leadership Team

  • Completes projects by prioritizing milestones and goals; seeks collaboration from cross-functional departments

  • Prepares reports by collecting and analyzing information

  • Secures information by completing database backups and maintaining filing room responsibilities

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies

  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturers instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

  • Maintains the Volunteer Program (Team TGS) and identifies initiatives; creates action plans and communicates timelines

  • Manages mail, vendors, and contracts as it relates to continuity of business operations

  • Contributes to team effort by accomplishing related results as needed

  • Assist the Legal Department, as necessary or requested

  • Coordinate and schedule facility tours, including collecting required documentation and approvals for various requesting parties

  • All other tasks and job duties as assigned

Qualifications

Education

  • Bachelors degree in Business Administration or related field

Training

  • Must maintain current knowledge of and adhere to all policy and regulations of the Colorado Marijuana Enforcement Division(MED); Colorado Department of Public Health and Environment (CDPHE), and Health Insurance Portability and Accountability Act (HIPAA), and TGS Global

  • Must maintain current knowledge of an adhere to all policy and procedures of TGS Global

Skills & Experience

  • Minimum 1-3 years of experience in administration or executive assistant role

  • Minimum 3-5 years experience in business related field

  • Knowledgeable about computer hardware and software, primarily Microsoft Office (emphasis on Advanced Excel, Outlook, and Word ability)

  • Ability to anticipate executive needs and plan accordingly

  • Effective verbal and written communication skills

  • Strong relationship building skills, primarily through phone calls and email

  • Experience in a fast-paced, multi-company environment

  • Strong attention to detail and persistent follow up skills

  • Capable of sound judgment and analytical decision making

  • Self-starter with proven ability to prioritize, organize, and multi-task

Other Requirements

Physical Requirements

  • Must be able to individually lift up to 25 lbs.

  • Must be able to sit, stand, stoop, crouch, reach, and lift for long periods of time

Work Requirements

  • Must be able to work in an office environment with moderate to loud noise level

  • Must be able to acquire MED Support badge ($75 Fee to State of CO) prior to beginning employment

Travel Requirements

  • Occasionally requires local travel, as needed.
