The Cybersecurity Technology team is responsible for designing & developing a portfolio of technology solutions to prevent, detect, & respond to Cybersecurity attacks against the firm.

We partner with Cybersecurity's Product Management, Enterprise Architecture, and Production Management teams to design, develop & manage resilient technology solutions that support each Cybersecurity product's mission.

Position Description

We are seeking an experienced individual to take on this challenging role of an Executive Assistant to provide support to 2 MD level managers based in Delaware. The role responsibilities will include:

  • Calendar management and administration assistance.

  • Prepare and print correspondence, reports and presentation materials.

  • Coordination support / liaison with other personal assistants to set up meetings and send out calendar invitations.

  • Receive and process internal and external mail.

  • Provide on-boarding support for new hires (e.g., ordering equipment)

  • Business travel arrangement in line with corporate travel policies, including prior approval, booking airline tickets, car services, hotels, itineraries; preparing documents for business travel (e.g., visas, new/amended passports)

  • Assist in organizing catering or room bookings for town halls, off sites and other events.

  • Processing of T&E and other expense claims

  • Providing general support including photocopying, booking meeting rooms, office supply inventory and re-ordering and filing.

Attributes:

  • At least 5 - 8 years experience supporting senior executives (at the MD and ED levels) in a similar capacity.

  • Excellent verbal/written communication skills.

  • Ability to prioritize workload effectively.

  • Strong character with the ability to work well under pressure.

  • Strong attention to detail and ability to think out-of-the-box.

  • Excellent organizational skills.

  • Committed in approach and flexible attitude towards working hours.

  • Proven ability to build relationships with internal and external clients.

Preferred Skills / Experience

  • Previous experience in a banking environment

  • Previous experience supporting Technology Heads

  • Advanced Microsoft Outlook and Intermediate MS Office skills

We are seeking a Senior Executive Assistant to strategically support CTC PM&R with a variety of administrative tasks and key projects. This candidate must lead all initiatives from conception to completion. This individual will work behind the scenes to seamlessly execute on all deliverables. The duties and administrative functions will require confidentiality, initiative, sound decision-making, independent judgment and the ability to escalate serious or unique problems to higher levels. This candidate must be driven by a first class goal to make a substantial and valuable impact to the firm. The successful candidate will possess structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. * Maintain complex and detailed calendars * Screen incoming calls and determine the level of priority while using caution in dispensing information * Responsible for the coordination and logistics of both internal and external meetings * Arrange and coordinate complicated domestic and international travel * Organize all aspects for offsite conferences and external events; including catering and transportation * Expense Management – Processing invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Subject matter experts for policies and procedures * Assist with staff onboarding and off boarding which includes requesting equipment setup and system access * Produce high quality emails and messages to individuals at all levels of the organization * Maintain current organizational charts and Executive Bio's for Managing Directors and their staff * Handle regular activities without prompting, and advise in advance with issues or delays * Assist in editing spreadsheets and presentations including printing to ensure the Managing Directors have the current version for executive meetings. * Work cooperatively with administrative assistants team, in positive partnership to back up each other smoothly * Lead and coordinate in adhoc projects as requested• Prior experience as an administrative assistant or similar role in a fast paced corporate environment * High school Diploma, BA degree preferred * Strong planning and organization skills * Detail-oriented and sets high standards of accuracy * Resourceful and strong results-orientation * Strong PC skills with proficient knowledge of MS Word, Excel and PowerPoint * Superior written and verbal communication skills with the ability to succinctly convey information * Effective interpersonal skills; comfortable interacting with colleagues, partners and senior leaders/managers * Team-oriented- fosters a positive work environment * Solid problem solving skills with the ability to think critically and escalate appropriately * Knowledge of internal systems to arrange meetings, order supplies, handle travel arrangements * Tact and good judgment in confidential situations and proven experience interacting with senior management * At least three years of administrative experience and meeting coordination Jpmorgan Chase & Co.
