Job Description:


Works with assigned internal and external Owens & Minor partners to ensure the accurate interpretation and maintenance of national Group Purchasing Organization agreements and individual hospital/Integrated Delivery Network cost contracts. Assists in the resolution of contract and rebate issues upon analyzing contract information. Assists with maintaining the expiring contracts database.

1.Responsible for ensuring that Regional, Integrated Delivery Network (IDN) or Group Purchasing Organization (GPO) agreements and/or Integrated Delivery Network (IDN) contracts are correctly loaded into OMNI/2 contracts administration database and retained according to audit/compliance policies.
2.Enters relevant contract data into the pricing system - ensuring that contract product cost, customer eligibility and other contract updates are incorporated and maintained in an efficient, accurate and timely manner.
3.Monitors and processes contracts transmitted through EDI (Electronic Database Interchange) networks.
4.Processes conversions of customer agreements into contract form ensuring that these contracts are loaded into the contracts database accurately.
5.Works proactively to notify appropriate teams of contracts due to expire. Reviews expiring contract reports and requests renewals from vendor or manufacturing representatives. Requests approval for contract amendments/extensions.
6.Responds to inquiries from vendors, buy groups (IDN, GPO, etc.) and various corporate departments regarding contract specifications and related issues.
7.Assists the Rebate team in researching and resolving rebate discrepancies between rebate credits and claims. Processes exclusions requested by Rebate, Sales or other teams. Approves or rejects requests for deviations from contract specifications and delivery schedules.
8.Works with the Product Pricing team to resolve issues that affect the contract database.
9.Assists with quarterly contract audits.
10. May serve as Subject Matter Expert for an assigned area of contract administration coverage.
11. May work special projects assigned by Supervisor; Communicates status of projects and significant issues to management.

1.Performs additional duties as directed.



  • High School Diploma, General Education Degree (GED), or equivalent training required

  • Some college or equivalent broad training in general Business Administration, Distribution, Health Care or a related discipline preferred

  • One or more years of experience with using reporting databases to query and format data preferred.


  • General understanding of the databases and data entry procedures; Ability to accurately enter data into a software system/database

  • Ability to work with customers to resolve contract issues

  • General organizational skills including the ability to prioritize among multiple, competing demands

  • Demonstrated analytical and problem solving skills

  • Ability to perform independently as well as collaboratively--as a team player

  • Excellent verbal and written communication skills


  • May be asked to work alternate shifts or longer hours as needed

VIEW JOBS 10/31/2018 12:00:00 AM 2019-01-29T00:00 Job Description POSITION SUMMARY Defines, documents and implements the processes, tools and procedures used by the contracts team for the application of supplier data to the Contract Management system. Engages suppliers in process improvement initiatives and implementation of the electronic data interchanges. Evaluates and disseminates inbound supplier contract pricing information for final processing. Creates and maintains various electronically stored department libraries. ESSENTIAL JOB FUNCTIONS: 1. Evaluates all incoming supplier contract communications in order to define and document the methodology for adding new suppliers or improving existing supplier inbound pricing data for processing within the Owens & Minor contracts management database. 2. Creates and maintains the library of Standard Operating Procedures (SOPs) for the contracts team. Documents and provides user training on Best Practices for processing contracts. 3. Facilitates the implementation of new, electronic data interchange (EDI) vendor set-ups. Facilitates vendor moves and system changes (such as part number updates, etc.). Tests and troubleshoots final system setups providing technical support during and after implementations. 4. Partners with in-house technical support teams on system enhancements and/or system issues. 5. Analyzes EDI transmissions and reviews contract audit reports to ensure data accuracy; takes appropriate action on the anomalies. Produces and shares reports that provide status on processing efficiency. 6. Processes complex contracts and exceptions and inbound contract communications with missing data and systems issues. 7. Partners with the contracts team to ensure that incoming data (including macros) meets the formatting standards of Owens & Minor--otherwise communicates directly with the supplier to resolve. Works through resolving the log of problematic vendors. 8. Supports the contracts team record retention process. Monitors the high density filing room to ensure that contracts are organized and filed daily. Moves and transitions the placement of the documents as needed. Coordinates the storage of bulk files. 9. Independently leads small and/or moderately complex projects. 10. May represent the department at vendor meetings regarding vendor-specific system issues. 11. May mentors and coaches junior contract teammates. 12. Works within a shared-services environment, with matrix reporting lines to CEC leadership and global process leadership. 13. Collaborates directly with client engagement, purchasing support, and finance operations teammates. Other direct interactions may include working with the Accounts Receivable, Rebates, Accounts Payable, Master Data, and Invoicing groups. SUPPLEMENTAL JOB FUNCTIONS: 1. Qualifications EDUCATION & EXPERIENCE REQUIRED: * Bachelor's Degree in Business Administration, Contracts Administration, Health Care or equivalent broad training and/or experience required * Five or more years of Medical-Surgical Industry experience in Contract Administration and/or Pricing required KNOWLEDGE SKILLS & ABILITIES: * Demonstrated knowledge of the contracts management process * Ability to demonstrate logic and reasoning skills necessary to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems * Strong skillset in the Microsoft Office Suite (Outlook, Excel, PowerPoint and Word). Familiarity or the ability to learn other software (MS Access, OMNI or other contracts and pricing systems, etc.) * Ability to multi-task, work independently and establish priorities; stay organized and exercise flexibility when working on multiple projects * Ability to interact effectively with staff at all levels of the company, cross-functional teams and multiple departments on a daily basis * Ability to work as a team player with strong team collaboration ADDITIONAL REQUIREMENTS: * Occasional alternative shifts or long hours may be required Owens & Minor, Inc.
