Number of Positions: Up to (8).

Position Overview:

The organizers of the World Baseball Classic are looking for highly motivated candidates with a tireless work ethic to fulfill the role of Coordinator, Team Operations for the 2025 World Baseball Classic Qualifiers. This position requires coordination of operational aspects for the assigned Team's participation in the Tournament. The candidates will support their assigned Teams through the roster eligibility and submission process, book and confirm travel logistics for all members of the delegation; flights, hotels, transportation, meals, etc., and be their day-to-day contact before, during and after the tournament.

This is an in-office based position in New York, New York at the WBCI offices. All candidates will be required to travel to the tournament location with their assigned Team.

Responsibilities:

Pre-Tournament Oversight:

  • Act as the primary contact between WBCI and assigned Team.

  • Confirm Official Team Delegation (including players, coaches, team staff, federation officials and guests).

  • Ensure that all members of the Official Team Delegation have valid passports and proper visas for all venues.

  • Manage all air travel preparations including confirmation of commercial flights and/or ground transportation to/from the tournament venue(s).

  • Oversee all team ground transportation needs including team buses, equipment trucks, team vehicles and additional vehicle requests.

  • Plan and arrange all hotel needs for the Team including compiling and confirming rooming lists, team office support, team check-in/check-out and additional appropriate requests.

  • Create, distribute, and maintain a day-by-day schedule for the Team.

  • Coordinate all Team ticket allocation, assignments, and purchase requests.

Roster Management:

  • Distribute and collect player and team staff participation agreements.

  • Support and maintain regular communication with Venue Manager to confirm team roster, schedule, and workout times.

  • Coordinate roster availability/player movement.

  • Manage daily game reports for assigned Team.

Qualifier Round:

  • Ensure hotel and ticket requests are constantly up to date.

  • Maintain regular communication with Venue Ground Transportation Coordinator to confirm team movements.

  • Ensure that all flight or ground transportation arrangements are made for team personnel's return home.

  • Assist with any additional event-related requests as directed.

Post-Tournament:

  • Compile and outline all Team related expenses and costs at the end of the Qualifying tournament.

Day-to-Day Management:

  • Monitor and facilitate on a daily basis the efficient flow of information and progress of documentation between the baseball operations department, World Baseball Classic organizers and Team representatives.

  • Systematically follow up with Team representatives and World Baseball Classic event groups regarding deadlines and completion of tasks.

  • Assist with international and domestic marketing initiatives for both the World Baseball Classic and assigned Team.

Qualifications and Skills:

  • Minimum of 2-3 years working in the sports and/or entertainment industry in a variety of areas including but not limited to ballpark operations, event planning, coordination of multiple groups and stakeholders.

  • Understanding of sports business and the event industry.

  • A collaborator with strong interpersonal skills and problem-solving capabilities.

  • Passionate, highly productive, and very detail orientated

  • Excellent written and presentation skills

  • Spoken and written fluency in English plus a secondary language such as Spanish, Mandarin, German, Portuguese and / or other languages preferred.

  • Experience in working events, especially internationally, is preferred.

  • Position will require extensive travel and frequent work on weekends

  • Position may require ability to lift large, heavy boxes upwards of 40 lbs.

Education Requirements:

  • Undergraduate degree required; Graduate degree a plus.

The tournament, which is sanctioned by the World Baseball Softball Confederation (WBSC), is supported by MLB, the MLBPA, Nippon Professional Baseball (NPB), the Korea Baseball Organization (KBO), their respective players associations and other leagues and players from around the world.

Per the NYC pay transparency law, the hiring range for this position is 65,000.00 USD to 65,000.00 USD anually. The actual offer will carefully consider a wide range of factors, including your work experience, education, skills and any other factors Major League Baseball (MLB) considers relevant to the hiring decision.
