What You'll Do:

The primary functions of the Service Coordinator are to generate, monitor, and close all repair orders and assist the shop management team in the management of Service Department records and files.

Responsible for proper paperwork flow and completion and service tracking.

  • Personally coordinates all customer contact with the Service Department, including repair estimates, service appointments, customer authorization on service orders, status -of -repair inquiries, and complaints.

  • Generates and maintains all work orders and repair orders. Assists drivers in identifying needed services.

  • Coordinates with shop management team to assure completion of work within time promised to customer. Monitors progress of repairs and updates driver on any changes or time of completion.

  • Closes all repair orders in coordination with shop management team. Ensures that all parts and labor have been added to the work order and all required documents are attached.

  • Ensures timely, competent, and courteous communications and relations with drivers.

  • Maintains up-to-date information on status of repairs and estimated times of completions.

  • Maintains technical bulletins and other service shop literature.

  • Assists Service Manager in the management of Service Department files and records. Answers phone as directed by shop management team. Staggers lunch hour with shop management team to cover phones daily.

  • Follows directives and schedules of the Supervisor or Manager in their absence.

  • Works with Shop Supervisor to troubleshoot issues with parts department and delays in receiving parts or repair orders and resolves quickly.

  • Performs other duties assigned by shop management team.

What We're Looking For:

Education

  • High school diploma or equivalent required.

Experience

  • Minimum of 1 year in a similar Service Coordinator position required.

  • Experience in the transportation industry a plus.

Skills/Certifications

  • Ability to read and comprehend English instructions and information.

  • Must have the ability to identify and meet customer needs and requirements.

  • Possess organizational and time management skills.

  • Exceptional phone and customer service skills.

  • Requires a minimum of average computer skills for basic data entry.

Physical Requirements: while performing the duties of this job the employee is regularly required to talk or hear; frequently stands, walks, uses hands to finger, handle or feel; and reaches with hands and arms.

  • Must be able to stand for prolonged periods of time with full body weight.

  • Must be able to walk for prolonged periods of time.

  • Ability to sit for short periods of time.

  • Ability to reach with full shoulder movement for prolonged periods at heights over 72"and to reach/stretch across the midline for prolonged periods.

  • Ability to handle and grip for prolonged periods.

  • Ability to frequently crouch, squat and kneel to a minimum height of 18" and to crawl under a minimum height of 12".

  • Must be able to frequently balance with no impairment, and frequently stoop to 30" minimum.

  • Ability to frequently climb stairs 12-24" without hand rail pulling full body weight.

  • Frequent up and down ramps and ladder 4-6 x12" steps with upper body strength.

  • Ability to occasionally push 200 +lbs, pull 100 + lbs, frequently push/pull 100/50 lbs and constantly push/pull 50/25 lbs.

  • Frequent exposure to vibration, loud noises, heights, confined spaces, awkward lifting loads and lifting up to 75 lbs. at heights between 6 and 9ft.

  • Ability to work in frequent temperature and humidity extremes

  • Ability to occasionally carry, lift overhead, low lift 70/50 lbs, frequently at 49/20 lbs and constantly from 19/1 lbs.

Work Environment / Physical Requirements - Normal office settings.
