SUMMARY

The Production Coordinator assists in the development, implementation and execution of strategic and tactical fulfillment of global events. This position is responsible for proactive coordination and frequent communication with team members, vendors and clients at the project coordination level.

  • Coordinates and tracks production timelines; creates schedules when needed as it pertains to project proposal development as well as sold programs.

  • Monitors services and activities to ensure they are within budget.

  • Ensures timely delivery of all necessary components, properties, and materials for each event.

  • Supports sales and fulfillment operations.

  • Works with vendors and service providers efficiently and respectfully.

  • Assists with hotel and/or travel arrangements.

  • Works with team on planning, execution and post-event reporting.

  • Provides set-up assistance and on-site support as required.

  • Maintains consistent and thorough communication with all involved.

  • Assists on signage and dcor development, copy, creation and placement.

  • Coordinates transportation plans.

  • Assists in all aspects of live events, including exhibit, AV, scenic, dcor, registration, graphics, event flow, creative, food and beverage, transportation, parties/evening events, as well as sourcing and interacting with both US and international vendors.

  • Works with other departments/agencies in order to produce, ensure quality, and deliver information/data to clients accurately and on time.

  • Sources materials required for event production.

  • Assists on marketing materials and creative projects.

  • Perform other duties and administrative tasks as assigned.

REQUIREMENTS

  • High School Diploma or GED required, Bachelor Degree preferred

  • A minimum of 1 year of experience in the event space

  • Experience in managing vendors, people, equipment, and timelines.

  • Ability to quickly recognize or anticipate problem areas and quickly develop solutions.

  • Flexible, self-motivated, energetic, and uses time productively and efficiently.

  • Strong and proficient skills with Microsoft Office tools such as Excel, Word, and PowerPoint.

  • Exhibits an outgoing, upbeat personality, enjoys working as part of a team, and is efficient, considerate, and organized, with a keen eye for details.

  • A strong attention to excellent customer service with proven written and verbal communication skills is preferred.

He/she works closely with (Senior) Production Artists, Senior Production Coordinator and Manager, International Graphics to ensure mechanical artwork and deliverables are met. Key Responsibilities: Copy/Translation Management 1.Conduct preliminary review of US Final Copy documents in conjunction with Design Turnovers (DTO2s) to identify potential challenges for International layout. *Consulting with (Senior) Production Artist and Senior Production Coordinator as necessary. * Proactively identify potential market-specific concerns (eg. Kingdom of Saudi Arabia) and escalate accordingly for resolution/direction. * Proactively identify potential Legal/Trademark, Regulatory, Design, and print execution challenges with regards to copy and escalate accordingly for resolution/direction. 2.Prepare proposed International copy templates and supporting documents for review with Senior Production Coordinator or Manager, International Graphics. 3.Coordinate and track consolidated translation requests for assigned brands. 4.Communicate availability of new translations to (Senior) Production Artist. 5.Maintain updated multi-language master copy templates for assigned brands, ensuring consistency of translations and organization of server. Preparation/Coordination of Assets 1.Aid in the collection and tracking of all assets required for mechanical creation (US mechanical, US final copy, codes, specifications, ingredient lists, etc.) 2.Troubleshoot with cross-functional partners to obtain status of outstanding deliverables necessary for project kick-off to (Senior) Production Artist. * Aid with ongoing day-to-day problem-solving (code discrepancies, changes in project deliverables, etc.) Project Management/Tracking 3.Maintain International Artwork Tracker on a daily basis for assigned brands. * Add new projects based on CSG (Commercialization Services Group) Notes & International Project List (Clarify as necessary if International markets are participating). * Update tracker as necessary with cancelations or mechanical release date changes. * Mark completed mechanical release dates and move to completed tab as necessary. * Prepare and print International Artwork Tracker and distribute to team prior to Bi-Weekly International Artwork Status Meeting. 4.Track/oversee progress of projects for assigned brands and communicate with internal team and cross-functional teams to ensure deadlines are met. 5.Anticipate and communicate potential risks to on-time artwork release to Senior Production Coordinator or Manager, International Graphics.
