Summary of Job Duties:
University of Arkansas-Pulaski Technical College (UA-PTC) in Little Rock, Arkansas, is accepting applications for the Coordinator of Events and Hospitality in the Culinary Arts and Hospitality Management Institute (CAHMI). The Coordinator is responsible for the planning and coordination of catering and events (i.e., North Little Rock, South Location, Business and Industry Center, and North Little Rock Aviation Location) under the direct supervision of the Director of Campus Dining and Events. This includes daily food service at both North Little Rock and South locations, as well as the Catering activities of Campus Dining. The Coordinator ensures customer service/satisfaction with efficient cost-effective management. The primary office of the Coordinator is at the North Little Rock campus. Travel is required but not limited to the South Location, Business and Industry Center, and North Little Rock Aviation Location.
GENERAL RESPONSIBILITIES:
Plan multiple types of events to include service to the North Little Rock and South Campuses, as well as scheduled catering events at all locations.
Respond to all catering inquiries, emails and communications in a timely manner. Create proposals, contracts and invoices for clients; update and confirm details to finalize BEOs (Banquet Event Orders); maintains account files and ensures all information is included.
Schedule catering, room rentals, audio visual, room setup, and post event cleaning using the appropriate systems. Coordinates with Facilities Management, Information Technology Services, CHARTS, and other functional areas to provide full service hospitality.
Ensure that all events/meetings are correctly set-with floor plans for events and prepared event/banquet staff. Complete final checks prior to event to ensure high standards of service, quality control, hygiene, and health and safety are met.
Cultivate strong client relationships/partnerships, ensuring client satisfaction. Respond to customer recommendations and/or complaints.
Assist Director to maintain systems and procedures for the ordering, receiving and storing of service related items for campus dining and catering.
Utilize company systems for completion of required daily/weekly/monthly reports such as inventory, cash reports, production records, payroll/time-keeping, etc.
Manage preparation and monitoring of purchase orders, reconciling and paying invoices, conducting weekly and monthly inventories of supplies and maintaining records that comply with applicable UA-PTC and government policies.
Establish MOUs and legal contracts when needed to facilitate all legal requirements for events, camps, and conferences involving children, individuals with physical limitations, and other unique participants.
Organize marketing activities, such as promotional events and other community engagement opportunities.
Must possess professional verbal and written communication skills, be organized and detail oriented, be flexible and adapt to change
Be available to work night and weekend shifts involving a flexible work schedule to accommodate events.
Assist the Director in all ways necessary to grow and maintain the reputation of CAHMI and UA-PTC by promoting the goals of the institution both internally and externally
Promote the mission of University of Arkansas-Pulaski Technical College
Other miscellaneous duties as assigned.
Qualifications:
MINIMUM QUALIFICATIONS:
Three years of administrative or bookkeeping experience
Customer service experience with clients
Positive, outgoing personality with strong communication, organization and analytical skills as well as the ability to work under pressure and manage multiple projects
Knowledge of accounting principles and database management
Proficient in Microsoft & Excel office programs
Understanding and commitment to equal access and equal opportunity.

PREFERRED QUALIFICATIONS:
Prior experience as an event / catering coordinator
Knowledge of food service operation and ordering applications within an academic learning environment
Associate's degree in Business Management, Hospitality Management, or related field.
