Role: The Coordinator of Alumni Relations reports to the Director of Engagement and is part of a team designed to create an informed, interested and involved alumni constituency of Truman State University. The Coordinator is a valuable resource to Truman's nine volunteer-led Alumni Chapters. The Coordinator will be responsible to maintain and enhance programs and activities that encourage alumni to deepen relationships with the University. The Coordinator should have excellent verbal and written communication skills with the ability to work independently and collaborate as a team member. Specific responsibilities are outlined below.

1.Communication

  • Responsible for mass communication including email blasts, social media and mailings.

2.Alumni Chapter Membership

  • Primary point of contact for Alumni Chapter members including preparing membership packets, developing membership recruitment materials and communicating with Alumni Chapters regarding their members.

3.Volunteers

  • First point of contact for volunteer event coordinators. Provides excellent and timely customer service to volunteers, including leaders of Alumni Chapters and Clubs as well as members of the National Alumni Board of Directors.

4.Events

  • Maintains events calendars. Works with volunteers to create communication plans to promote events. Utilizes Truman's e-commerce platform to sell tickets to events. Works with volunteers to capture and track event attendee information.

5.Financial

  • Monthly prepares financial paperwork related to Alumni Chapter membership and event payments. Conducts internal audits to ensure financial paperwork has been completed correctly.

6.Data Maintenance

  • Ensures data is entered correctly and efficiently in the Advancement CRM (Slate) to track engagement including but not limited to Alumni Chapter membership, event attendance and mass communication.

7.Perform all other duties as assigned by the Director of Engagement.

Required Qualifications

Required qualifications include: Bachelor's degree; excellent written and verbal communication skills; valid driver's license; willingness and ability to travel regionally (including driving 3 hours or more) and work flexible hours including nights and weekends; well versed in major computer programs like Microsoft Office, Zoom and current social media platforms; ability to lift up to 50 lbs; ability to stand for up to 3 hours at a time; ability to work with a diverse population and juggle multiple scheduling demands; and demonstrated understanding and commitment of Truman's culture.

Preferred Qualifications

Higher education experience; experience with event planning and/or volunteer management.
