POSITION SUMMARY:

The Coordinator of Alumni Engagement reports to the Director of Alumni Engagement and is responsible for facilitating digital engagement with alumni, assuring efficient office operations and general administrative assistance for the Director and multiple Alumni Engagement staff, as well as project management of assigned duties in support of The University of Tulsa's strategic plan.

CHARACTERISTIC DUTIES:

The Coordinator of Alumni Engagement duties will include, but not be limited to:

  • This individual will have extensive contact and must maintain a close, positive working relationship with, alumni, donors, faculty, staff, students, volunteers and vendors

  • Facilitates communication with alumni, digitally and in person, that fosters an environment of equity, inclusion and belonging that values diverse life experiences, ideas, and perspectives

  • Manages all alumni social media, including the creation of content, management and tracking of engagement on Alumni Association social media accounts, including Facebook, Twitter, Instagram, LinkedIn and other platforms

  • Works closely with the Alumni Engagement staff members and the Marketing and Communications Office to manage the online community at TUAlumni.com by: updating events online; writing, creating and sending HTML email communications; managing event registration, user profile information and general content; assisting new users; maintaining relationship with online community vendor; training new users; any other duties related to the alumni online community

  • Manages the creation of The University of Tulsa monthly e-newsletter, Class Notes, In Memoriam recognition and alumni news content

  • Maintains annual University Advancement and Alumni Engagement calendar, board and committee distribution lists and coordinates alumni data updates with Advancement Services

  • Supports Alumni Association programming by staffing and assisting in the planning of Tent Parties, TU Uncorked, Homecoming, Tulsa Chapter Board meetings, Alumni Association Board meetings and Chapter events as needed

  • Manages the Jill Zink Tarbel Heritage Room and Koerner Alumni Conference Room bookings

  • Keeps the Alumni Office, Collins Hall Kitchen, Jill Zink Tarbel Heritage Room and Koerner Alumni Conference Room clean and safe and ensures equipment and furniture are in good working order

  • Answers and routes incoming calls and emails to the office, greets and assists visitors

  • Engages alumni by responding to email messages submitted to tualumni@utulsa.edu

  • Monitors office supply inventory and orders new supplies as required

  • Assists other staff members with special events and meetings by: managing RSVP lists; taking meeting minutes; printing name tags; ordering refreshments and completing alcohol and catering forms as needed

  • Other duties as assigned

Required Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or equivalent experience

  • Effective written and verbal communication skills

  • Proficiency utilizing Microsoft Office software

  • Excellent organizational skills with keen attention to detail

  • Ability to maintain strict confidentiality standards of the department and University

  • Ability to work effectively in a team environment

  • The ability to handle multiple talks with multiple priorities while adhering to tight deadlines under high expectations of accuracy

  • Ability to professionally represent the university by demonstrating pride and loyalty

  • Demonstrated effective interpersonal skills.

  • This individual should be a digitally savvy, detail-oriented, conscientious, self-starter and demonstrate an ability to organize, prioritize, and manage multiple projects and events.

  • Willingness to work some nights and weekends as needed.

  • Must be able to sit at a desk for prolonged periods while working on a computer in an office setting and be able to lift at least 15lbs routinely.

Preferred Qualifications

PREFERRED QUALIFICATIONS:

  • Demonstrated ability to work with large and diverse groups of volunteers

  • 1 or more years of experience in marketing, events, higher education or related field

  • Professional experience in social media

  • TU alumni status or familiarity with the university community.

Physical Demands

Must be able to sit at a desk for prolonged periods while working on a computer in an office setting and be able to lift at least 15lbs routinely.
