JOB SUMMARY
The Coordinator of Academic Support Services spearheads the development of a comprehensive advisement model, ensuring consistency and effective communication. The coordinator oversees articulation agreements and guides their improvement, fostering streamlined academic pathways. Serving as the Campus Contact for TN eCampus, this role supports students through enrollment, and connection with appropriate academic support services. The coordinator focuses on enhancing student persistence through program development, engagement initiatives, and community partnerships. The coordinator contributes to policy & process development and collaborates across leadership to shape a comprehensive approach to student outcomes. In collaboration with Academic Affairs, Student Affairs, and other offices, the coordinator will create a student-centered approach dedicated to fostering a supportive and enriching educational environment that empowers every student at Cleveland State Community College to achieve success and reach their fullest potential.
ESSENTIAL JOB FUNCTIONS
Academic Advising Services Manager (30%)
Design, implement, and monitor a comprehensive academic advisement model, inclusive of all student types and programs.
Assess and evaluate the academic advising process.
Develop, modify and implement professional development for faculty academic advising.
Communicate changes in degree or transfer requirements.
Cultivate strategic partnerships and serve as a liaison to faculty, staff, and administrators.
Advise college administration on policy interpretation and execution regarding college academic advising standards and best practices.
Conduct operational aspects of the Academic Advising Center.
Serve as a member of Curriculum & Standards committee (CAS).
Serve as secondary Academic Advisor as needed.
Chair the Advising Committee.
Retention Program Coordinator (25%)
Develop, implement, and assess comprehensive retention programs.
Assist with the engagement of at-risk students utilizing advising, data analysis, and early alert systems.
Develop and deliver workshops and training sessions on study skills and time management.
Collaborate with academic departments to address curriculum-related barriers.
Establish community partnerships and monitor key retention metrics.
Transfer Articulation Coordinator (20%)
Review transfer articulation agreements annually and work on their improvement in collaboration with applicable faculty.
Update course equivalency guides with changes from Curriculum and Academic Standards.
Participate in the development of new articulation transfer agreements.
Coordinate with transfer institutions for updates and improvements; and communicate changes or transfer requirements to all advisors and students as applicable.
Assist with transfer and transient student advising.
Campus Contact for TN eCampus Enrollments (10%)
Assist students with TN eCampus admissions and enrollment processes; develop an appropriate plan of study; and process student withdrawals.
Advise students on hardware or software requirements for TN e-campus courses; and assist with minor technical issues with log-in and navigation.
Assist TN eCampus students with accessing needed academic support services student disability services and handle student withdrawals.
Facilitate timely resolution of student concerns through the TN eCampus Complaint system.
Work with TN eCampus faculty to advise and support students.
Receive and review student engagement reports from the TN eCampus Central Office; use to inform CSCC practices.
Collaborate with peer Campus Contacts and the TN eCampus Central Office to provide a clearinghouse of student-oriented best practices with the goal of enhancing professional development, promoting high ethical standards, and evidencing a strong adherence to SACSCOC standards.
Academic Council & Student Success (10%)
Provide influential presence within Academic Affairs for campus-wide student success and retention initiatives.
Contribute to policy development and/or for improved student outcomes.
Develop and/or adopt and implement professional development in the role of faculty academic advising at the college.
Develop and implement a comprehensive assessment plan for College Advising to include analysis and interpretation of student retention and graduation data, in cooperation with the Advising Committee.
Non-Essential Functions (5%):
Serve on various college committees.
The Academic Advising, Transfer, Retention Coordinator will be required to meet those standards now required or which may be required by the Tennessee Board of Regents and the Southern Association of Colleges and Schools Commission on Colleges.
The appointee may be required to achieve additional skill, knowledge, or credential levels.
Perform other related duties as assigned.
EQUIPMENT
Work activities routinely involve work with personal computers and peripheral devices. Photocopy, facsimile, and other standard business machines are frequently used.
KNOWLEDGE, SKILLS AND RESPONSIBILITIES
Strong interpersonal communication; demonstrated ability to establish and develop productive and collegial relationships, collaboration, and communication with campus constituencies (e.g., staff, faculty, students, managers, external college and community partners etc.). Build effective teams as needed.
Exceptional organizational and time management skills with demonstrated ability to plan, coordinate, execute, and assess multiple initiatives and meet established deadlines.
Technical proficiency in electronic document management systems, student information systems, i.e. MS Office Suite, Banner (Ellucian), and TN eCampus Course Management System (CMS).
Demonstrated expertise in applying current best practices in student development theory.
Ability to communicate clearly and effectively with staff, faculty, and students at all levels using writing and public speaking skills.
Ability to collect, compile, analyze, evaluate, and present information.
Ability to apply student development and enrollment management theories and current technological tools to contemporary advising practices.
Ability to analyze problematic situations, identify feasible solutions, and present recommendations in a concise, logical, and systematic manner.
Ability to work with confidential and sensitive information and records, commit to the highest ethical standards, and participate in evening and weekend commitments as necessary and/or required.
Leadership qualities including motivation, supervision, delegation, mentoring, planning, and assessment.
JOB STANDARDS/QUALIFICATIONS
Bachelor's Degree from a regionally accredited institution with a preferred concentration in student personnel administration, higher education administration, counseling, career development, or related field.
Master's degree preferred
One to three years of higher education experience is preferred.
Community college experience preferred.
Previous experience in academic advising preferred.
Knowledge of current best practices in student development theory, practice, and resources preferred.
Affiliation with or knowledge of with the National Academic Advising Association (NACADA) preferred.
JOB LOCATION
The main campus of Cleveland State Community College is the primary workplace.
Occasional travel to off-campus sites may be required.
