The Coordinator of Facilities Repair and Maintenance is responsible for the administration of construction, repairs and maintenance across all brands. the responsibilities extend for the coordination and repair of all retail stores, deliveries, source material and vendors as well as adminster store enhancements. This position will support functions from store design, construction and facilities.

The successful individual will leverage their proficiency to...

  • Responsible for ensuring the preventative maintenance of all retail properties.

  • Provide support on all construction processes, store openings; maintain and update stores as required.

  • Support facilities maintenance and management for retail store locations.

  • Partner with cross functional teams on all maintenance and store related projects to include store design, visual and IT.

  • Build and maintain sub-contractor relationships

  • Quality control and process improvement.

  • Evaluate and validate that all maintenance proposals match work performed and submit invoices for payment.

  • Manage outside facilities network and ensure billing is up to date.

  • Ensure all business licenses are submitted and renewals are complete.

  • Anticipate challenges and obstacles and proactively recommend solutions.

  • Meet critical Deadlines in a fast paced market place.

The accomplished individual will possess...

  • Minimum 2 Years' experience in a retail industry; construction, facilities A&D environment a plus.

  • College degree; related degree / educational experience a plus.

  • Knowledge of design, architecture and construction process

  • Familiar with construction management, and contract administration.

  • Strong analytical, planning organizational and problem solving skills.

  • Strong communication and interpersonal skills

  • Ability to drive cross functional partnerships and prioritize projects.

  • Ability to multi-task with minimal supervision

  • Ability to consistently exhibit diplomacy and poise.

This role serves as the gatekeeper for many OS team system applications. * Answers and processes office services requests such as catering requests, entering visitors in building security system and purchase orders. * Coordinate space and event planning by supporting internal moves, purchasing necessary office furniture or items, ensuring all maintenance and repair activities are completed in a timely manner. * Maintain spreadsheet of invoices, archiving database and updates SOP file annually. Support hotsheet updates. * Process new / replacement / departure photo ID's, maintain security database, communicate with bldg. security team and run exception reports weekly for validation. * Open, sort mail, and date stamp. * Process / Coordinate invoices with Dept. lead, Finance team and vendors: * Ensure all invoices are filed properly, make copies to backup file and keep a running spreadsheet of all payments made for each account. * Setup /deactivate user accounts: * -> BT Conferencing. * -> WebEx. * -> RightFax. * Coordinate facility issues with building as necessary * Review SharePoint Office Service Ticket System, process and close out tickets daily * Key deployment for offices & furniture * Work with team on ongoing projects as needed: * -> Facilities & IT Purchase Orders * -> Company Events * -> Intranet Content for IT and Office Services. * -> Ground Transportation. * Process expenses on travel and expense reporting system (Concur) for Facilities and IT leads. * Support Space Planning Task (i.e. new hires, releases, moves, etc.). * Maintain Fire Warden Process. Update Quarterly. * Maintain master contact list on SharePoint. * Coordinate vendor repairs (i.e. appliances, etc.). * Support Hotsheet Updates. * Provides back-up support to the Facilities Manager as needed; including travel to sites as necessary to accomplish responsibilities. 2-3 years of experience working in Facilities Strong written/oral communication, organizational, and multi-tasking skills; ability to work well in a fast-paced environment Basic computer skills and use of Microsoft Word, Excel, PowerPoint Proficiency in Concur Expense Management Team player & positive contributor to the culture Associate degree, Bachelors Degree or Equivalent Experience FCB Global New York City NY
