Position Description

  • Our team provides excellent processes, resources, and tools to enable the broader learning and development organization to run smoothly and efficiently.

  • Some of our many responsibilities include budget management, timely creation of vendor POs, and partnering closely with Legal / Finance/ Supplier Sourcing to manage our external vendors, ensuring that we're engaging with them in a legally sound way.

  • You will be a key member of the team responsible for timely creation of POs and execution of vendor contracts for our organization.

Top Daily Responsibilities:

  • As the subject matter expert on budget management and vendor contracting, provide timely support via email, chat, video conference, and in person to partners on a daily basis

  • Draft and execute the appropriate legal contracts for each and every vendor engagement

  • Create and edit vendor POs

  • Respond to high volume of incoming ticket requests

  • Ad hoc project support -- both tactical and strategic -- as needed

  • BA/BS degree
  • Minimum 5 years of post-graduate customer service experience, preferably in an email heavy environment
  • Excellent written and oral communication skills, with demonstrated ability to communicate complex concepts concisely and clearly

  • Exceptionally detail-oriented and organized, with keen ability to multitask and work under pressure while adhering to deadlines in a fast-paced, high-intensity environment

  • Expert proficiency in Google apps, especially gmail, docs, sheets, and calendar

  • Ability to work independently and collaboratively with a dedicated team spirit


  • Intermediate to advanced Excel skills (e.g. Vlookup, Pivot tables, conditional formatting)

  • Prior experience with vendor contracting, vendor operations and/or dealing with risk assessments

  • Prior experience financial/bookkeeping experience performing data entry, budgeting, forecasting, reporting and analysis

VIEW JOBS 12/5/2018 12:00:00 AM 2019-03-05T00:00 Job Title: Service Logistics Coordinator Location: Mountain View, CA Mission To reduce the time, effort, and cost it takes to order, ship, and receive service parts and overall improve KPI's for the Customer Support and Services team. The Service Logistics Coordinator position has the responsibility to manage service inventory and parts logistics activities for ViewRay to support the customer support and field service team. For the most part, you will manage your schedule and work priorities to ensure that urgent customer requirements are addressed appropriately and customer satisfaction is optimized. This will require a high level of self-motivation and organization on your part. You may occasionally be required to work hours other than a traditional M-F, 8:00 am to 5:00 pm. Work schedules are determined by a combination of, but not limited to, our service obligations, customer service needs, and manager input. This position will report to the Service Operations Manager. To apply for this position, please check out our website at Responsibilities * Contribute to the execution of ViewRay's parts project plan * Collaborate with team members and others at shipping warehouses to organize inventory/assets, kit, and setup * Prepare and coordinate parts shipments to 3 depot locations * Manage fulfillment of service parts requests from the field by identifying parts, following the ordering processes, and shipping so customer issues may be resolved in a timely manner * Coordinate with team members, customers, and suppliers where more information is needed * Communicate status of part and replacement shipments with the team * Ensure that all safety levels are met so there are no delays due to parts not being in stock * Track and plan availability of service tools * Coordinate with freight and shipping partners to transport parts and tools * Initiate purchase requests for the Customer Support and Service team * Document work instructions and processes for service logistics * Performs other duties or special projects as required or as assigned by a supervisor Education, Experience, Skills * Bachelor's degree or equivalent experience required * 3-5 years' experience with logistics, inventory management and/or service operations * Experience with medical device preferred * Excellent written and oral communication skills * Strong team player that reaches out to peers and cooperates with supervisors to establish an overall collaborative working relationship * Proactive, adaptive, and accountable * Must legally be able to drive and use own car to travel as needed * Must be able to occasionally lift and/or move physical inventory, tools, or boxes weighing up to 50 pounds and move or transport physical inventory weighing up to 1500 pounds utilizing lifting/moving devices such as cranes, lifting fixtures, and equipment dollies.
