Coordinator-Administrative

This Coordinator-Administrative role offers the opportunity to directly contribute to the success of the Informatics and Information Services (IIS) Senior Vice President and other key leaders. Reporting to the Chief of Staff, you'll be a key player in ensuring efficient operations and achieving team goals.
RESPONSIBILITIES:
Strategic Administrative Support: Provide comprehensive administrative and technical support to the IIS Senior Vice President and other members of the leadership team, anticipating their needs and proactively addressing challenges.
Calendar & Event Management: Manage calendars, meticulously schedule appointments, meetings, and events, ensuring smooth coordination across the team.
Travel Coordination: Arrange and manage travel logistics for the leadership team, including flights, hotels, and car rentals.
Financial Management: Process invoices and expense reports efficiently and accurately.
Project Management: Lead and manage small projects to successful completion within deadlines.
Problem-Solving & Initiative: Demonstrate initiative by identifying and proactively resolving administrative and technical issues before they escalate.
Data Management: Ensure accuracy and accessibility of office records, files, resource data, reports, and participate in basic budget oversight tasks.
Discretion & Confidentiality: Maintain strict confidentiality of sensitive information and exercise sound independent judgment.
REQUIREMENTS:
Bachelor's degree or equivalent years of experience required.
Requires 3-5+ years of relevant experience.
Experience with matrix organization and complex work environment preferred.
Requires intermediate proficiency in MS office (Word, PowerPoint, Excel).
Requires intermediate experience in receiving, analyzing, and interpreting complex data and information.
