The Scheduling and Technology Coordinator provides, Workforce & Economic Development, Small Business Development Center, and the Institute of Public Safety centralized services of non-credit courses, event scheduling and supports related processes. Responsibilities include communication with a variety of staff and faculty. As the primary point of contact for non-credit classes, events, and room scheduling, supporting the workflow for room change requests and class schedule management, this position uses multiple information systems, collaborates with other departments within the college, and Student Affairs personnel to provide essential campus services. This position requires effective and accurate management of essential services associated with the official schedule of classes, including student registration and fees assessment. Gathering information, fact finding to research and solve problems, and communication with staff are essential along with updating class information, student record information, and data analytic services. The Scheduling and Technology Coordinator works in collaboration with others to analyze, process and deliver timely non-credit record services with the highest levels of record accuracy, reliability, and usability.

Essential Responsibilities and Duties

  • Responsible for the processing and the management of integrated business processes including the identification and resolution of problems within one or more complex Registrar service areas.

  • Responsible for the analysis, testing and ongoing use of complex student information systems which support instructional and academic records, serve as an expert, recommend process improvements, participate in needs analysis, and participate in testing and problem solving.

  • Work directly with staff, administration to review and implement best practices and policies.

  • Deliver consistent and accurate academic records within complex information systems.

  • Collaboratively assess business processes, recommend practices, implement best practices and deliver quality services; develop materials that illustrate processes, provide training and support.

  • Work with staff and the administration to ensure compliance with institutional policies and procedures.

  • Supervise part time staff and assign work and provide regular direction.

  • Add, update, maintain, records to ensure accuracy and regulatory compliance.

  • Build and/or use data queries to support record accuracy and share information with others.

  • Serve as an expert resource and primary point of contact for academic departments, students, faculty, staff, and administration.

  • Assess needs, navigates conflicting priorities, devises creative resolutions for unusual situations under limited time constraints and assists in the negotiation of complex class scheduling and room assignments.

  • Independently identify, report, and resolve issues associated with class and event scheduling and related services.

  • Participate in business process discussions, testing and maintenance of complex information systems to ensure accurate academic records and services.

  • Directly communicate with and provide service to faculty, staff, and administration. Communicate strategies and processes, including explaining a wide range of policies, procedures and guidelines including the enforcement of the federal Family Educational Rights and Privacy Act and various other College and campus academic policies.

  • Participate in writing and maintaining effective documentation and training materials; deliver ongoing training to staff.

  • Develop reports for departments within the Workforce and Economic areas.

  • Perform on-going evaluation of work, establish performance benchmarks, and develop or enhance campus business process initiatives and requirements in line with departmental goals.

  • Other duties as assigned.

Essential Responsibilities and Duties Continued Minimum Qualifications

  • Bachelor's degree in related field.

Trade off 2:1 in experience/education requirement.

Preferred Qualifications Knowledge, Skills & Abilities

  • Experience in a high-volume transactional environment.

  • Skills to perform multiple tasks with consistently high accuracy; coordinate tasks to be completed by others, resolve and document both procedural and system problems.

  • Experience with Etrieve, Microsoft 365 tools such as Word, Excel, PowerPoint, and electronic communication.

  • Ability to operate with a high level of independence, routinely making critical decisions and exercising sound judgment.

  • Experience in customer service including good listening, informed decision making, and the ability to handle a wide range of situations.

  • Knowledge of academic records, Student Information Systems in a non-traditional Higher Education environment (Banner, Elevate) or related integrated systems.

  • Knowledge of credit and non-credit registration policies, procedures, and operations in Higher Education.

  • Knowledge of Federal, State and College policy and regulation (including FERPA).

  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the college.

  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
