The Coordinator will establish an annual giving program through the intentional coordination of events designed to inform and engage Salt Lake Community College (SLCC) 's alumni, friends, volunteers, employees, and community partners in supporting the College's students and to help advance its mission, vision, and strategic plan. This position will organize, coordinate, and stage events for a variety of Development and Alumni meetings, seminars, breakfasts, receptions, and lunches. The Officer will manage signature events such as Giving Day and the Gail Miller Utah Leadership Cup in support of donor cultivation and constituent engagement. Toward these ends, the position will prepare and manage development's event calendar and a corresponding communication plan oriented around the cultivation, solicitation, and stewardship of SLCC's base of constituents. The role will also assist with adding and updating constituent records in Raisers Edge NXT. The Officer reports to the Executive Director of Development and requires coordination and collaboration with key stakeholders across the institution. Attention to detail and previous experience in development and with the coordination and staging of events is required. Creativity and imagination is a plus.

Essential Responsibilities and Duties

  • Management of all Development events, including but not limited to: receptions, scholarship luncheons, PACE breakfast, alumni association events, etc.

  • Develop and manage communication plan and calendar to achieve maximum constituent engagement in development and other relevant college events.

  • Consult with Institutional Marketing to determine themes, designs, print and/or media campaigns, publicity, web presence, social media presence, registration sites, RSVP's etc.

  • Create and manage timelines for marketing collateral and deliverables.

  • Plan and implement direct mail, social media, and texting campaigns in support of annual giving goals.

  • Determine and coordinate all logistics with internal and outside vendors such as rental companies, caterers, audio visual, transportation, and promotional items such as gifts or giveaways.

  • Determine and coordinate all logistics with internal college vendors such as venues, audiovisual needs and archival footage, photography, facilities, and parking services.

  • Coordinate volunteers as needed for successful implementation of the event.

  • Create event resume, space plans, and "Run of Show" documentation, if needed, for event.

  • Design and implement an event management and annual giving strategy oriented around SLCC's key constituents (e.g. alumni, friends, volunteers, employees, community partners).

  • Incorporate a moves management system (discovery, cultivation, solicitation, and stewardship) into the implementation of the event management and annual giving strategy.

  • Develop and implement Giving Day, Gail Miller Leadership Cup, the Scholarship Luncheon, and other development events.

  • Lead the coordination of efforts and communication across the development office and advancement division in the implementation of all development events.

  • Responsible for working with the events team to understand other college events and if/how existing events might be incorporated into the development teams broader moves management system.

  • Cultivate relationships with key campus partners to gain their support.

  • Identifies recruits and trains volunteers.

  • Manage logistics and contracts for digital and in-person engagement.

  • Lead in all communication between Development Office and third-party venues and vendors.

  • Create and update constituent records within Raisers Edge NXT.

  • Log contact with prospects and donors to ensure the capture of critical development information and next steps.

  • Basic prospect research on constituents, as needed.

  • Other duties as assigned by Executive Director of Development, SLCC Foundation.

Essential Responsibilities and Duties Continued Minimum Qualifications

  • Bachelor's degree in a business-related field or a minimum of 120 completed credits in an accredited higher education institution.

  • Zero (0) to two (2) years of direct, full-time, paid work experience with preference given to candidates with at least two (2) years of event planning experience.

Trade off 2:1 in experience/education requirement.

Part time direct work experience may be substituted for full time experience on a prorated basis.

Preference given to candidates with two (2) + years of event planning experience.

Knowledge, Skills & Abilities

  • Knowledge of fundraising, event management, and relationship management practices.

  • Familiarity with generally accepted best practices, principles, and ethics in fundraising.

  • Proficient verbal and written communication skills.

  • Ability to meet deadlines and work under pressure.

  • Demonstrated ability to lead others and work as part of a team.

  • Demonstrated ability to interact with and secure the confidence of academic leadership.

  • Ability to interact with stakeholders to determine objectives and ROI for events.

  • Flexibility and resourcefulness to problem solve quickly in high-stress situations.

  • Exceptional organizational and time management skills as well as the ability to manage rapidly shifting priorities.

  • Excellent computer skills and proficient use of Microsoft Office software and proficiency in Raisers Edge.

  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.

  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
