POSITION/JOB SUMMARY:

Cypress Healthcare Partners is a physician practice management company that provides various "back office" and administrative services, including extensive medical billing and collection ad accounting services, to hospitals, medical groups and physicians in Monterey and Santa Cruz Counties. Cypress's Corporate Office is based in the Ryan Ranch business park, Monterey, California 93940.

We are seeking an experienced Controller to contribute to our executive staff and oversee the 8-10 FTE accounting team. The ideal candidate will have experience as an accountant, preferably in a senior role, and possess strong communication and financial analysis skills. This position reports directly to Cypress's two principals, Michael McMillan and William Hines.

This position directs the accounting and financial activities of the organization and its 8-10 medical group/hospital clients, and oversees and participates in the timely preparation of numerous monthly financial statements for Cypress and all of its clients. The position will also be responsible for:

  • Overseeing, directing and actively participating in budgeting, audit, tax, accounting, payroll, purchasing, real estate and insurance activities for the organization.

  • Developing and implementing procedures and systems necessary to maintain proper records and to afford adequate accounting controls and services.

  • Documenting departmental policies, procedures and workflows.

  • Preparing professional-grade reports which summarize and forecast company and client business activities and financial position in areas of income, expenses and earnings based on past, present and expected operations.

  • Directing and actively participating in the preparation of budgets.

  • Directing and actively participating in the determination of depreciation rates to apply to capital assets.

  • Overseeing audits by outside auditors.

  • Attending meetings with clients and senior management/executives.

Cypress invests in technology and automation. Its accounting software is Sage 100; it uses SAP Concur for expense reporting; it uses SageAPA BeanWorks for automated accounts payable; it uses ADP Workforce Now Comprehensive Services for Payroll, Benefits and HRIS; and it uses Centage for budgeting and financial reporting.

SUPERVISORY RESPONSIBILITIES:

  • This is a "working" management position that also oversees 8-10-FTE department, including payroll.

KEY RESPONSIBILITIES & DUTIES:

  • Directs and participates in the development of accounting and internal control policies and systems.

  • Coordinates the Cypress's and its clients' banking activities

  • Provides advice and assistance to executives, senior managers and clinic managers in analyzing and interpreting financial data and reports and in presenting that information to their departments.

  • Defines and communicates new/revised position responsibilities and/or reporting relationships and determines necessary staffing changes.

  • Ensures that accurate information is provided on a timely basis and assists, as needed, in facilitating the efficient conduct of external audits, examinations and related financial projects.

  • Ensures that a monthly time schedule is established for the preparation of monthly financial statements; actively participates in the preparation of financial statements; implements corrective action as necessary to meet established deadlines. Timely preparation of monthly financial statements and delivery to Cypress and its clients is critical.

  • Consistently develops a detailed plan of action prior to implementation of a new procedure

  • Regularly examines alternative methods of providing required accounting services; takes advantage of technology and automation for purposes of reducing operating costs, reducing human error and continually improving "closing times" on monthly and periodic routines. Instills a department culture of "continuous quality improvement," rather than a culture of "this is how we've always done it."

  • Provides fair, complete and timely performance evaluations for the Accounting Department's staff; fosters a culture of continuous professional improvement within the Department; provides continuous appropriate feedback to underperforming staff members and works appropriately with HR to develop Corrective Action Plans.

  • Thoroughly understands and constantly monitors gross and net accounts receivables for Cypress's clients that use accrual financial statements; tests monthly the adequacy of the A/R accruals for bad debt, discounts and allowances, using Cypress or other approved methods.

  • Oversees payroll in conjunction with HR and monitors proper, effective, secure and efficient use of the ADP Workforce Now system; suggests use and implementation of sophisticated features of ADP WFN, like the G/L interface to eliminate redundant manual entry of ADP payroll journal entries into Sage 100.

  • Participates with the teams responsible for calculating physician/medical provider compensation and periodic incentive calculations.

  • Demonstrates effectiveness in pulling together all the necessary information needed to compare revenue and expenses and determine the Cypress's and its clients' actual financial position.

  • Monitors the implementation of checks and balances which continually evaluate accounting practices, reporting procedures and record keeping.

  • Annual budgeting for Cypress's major clients: Salinas Valley Medical Clinic, Montage Medical Group and Doctors on Duty.

  • Presents monthly financial review to Cypress's major clients.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must be able to communicate effectively in English, verbally and written.

  • Must be able to write reports, business correspondence, and procedure manuals using good, proper grammar, avoiding accounting jargon that most non-accountants don't understand.

  • Able to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

  • Must be able to maintain a high degree of confidentiality and work well under high productivity standards.

  • Able to prioritize and balance workload on short and long-term company needs.

  • Must be able to work independently and be able to solve problems efficiently and accurately.

  • Able to create channels of communication to obtain information necessary to perform job tasks.

  • Strong organizational skills with the ability to prioritize a high-volume workload.

  • Helpful attitude, positive teamwork spirit with a willingness to help.

CREDENTIALS / EDUCATION / EXPERIENCE:

  • Bachelor's degree in Accounting or comparable field required. Master's degree preferred.

  • Organizational and HR skills.

  • Project management skills.

WORK ENVIRONMENT:

The nature and stature of this position requires that it is predominantly "in-person" at Cypress's Corporate Office and at Cypress's clients' offices (e.g., hospital administration, medical clinics). This is not a remote, "work from home" position, though some remote or WFH work may be allowed (e.g., one day per week).
