Doble is seeking a Contracts Specialist to support the Doble Contracts group in the servicing of clients as it relates to their Equipment and Service contracts. This person will be tasked with administering Master Equipment and Service contracts, Software Maintenance contracts, contracts renewals, client/account changes, etc. This job will also help to support the day-to-day functions of the department, depending on the needs of the Contracts group and the work load.

Essential Job Functions

  • Administration of Doble Equipment and Service contracts, Software Maintenance contracts:

o Generate a list of monthly contracts renewals applicable to the scope of Contract Specialist I, as determined by the Contracts Manager

o Prepare Asset Reconciliation Analysis for the Doble equipment lease pool

o Partner with Regional Sales Managers (RSMs), and Client Service Engineers (CSEs) on preparing information for account reviews, retention management (additions/deletions, mergers, consolidations, and splits)

o Coordinate with Contracts Manager on pricing determination (schedules, increases)

o Review and track all contractual documents for each client, e.g. amendments, tax documents, purchase orders, etc. during the time of submission

o Send out renewal on timely fashion, and follow-up on lapsed/late renewals via phone or written correspondence

o Ensure that clients are properly invoiced and provide billing instructions for an accounting team

o Partner with Finance to ensure clients are billed timely

o Follow-up with client if there are missing or incomplete documents

o Work with clients to facilitate additions, deletions, and changeovers of equipment, terminations and any other special equipment allocation issues.

o Review solicitations and send quotes to clients

  • Client Inquiries:

o Serve as the point of contact to assist clients and non-clients with contract-related questions and inquiries

o Support and troubleshoot Doble employees on issues or concerns raised through client inquiries and assist to bring them to a successful resolution

  • Decision-making Latitude:

The Contracts Specialist will consult with the Contracts Manager as such decision opportunities arise. The Contracts Specialist I may, after time, have the ability to make certain decisions on her or his own. Such decision making authority may include: Renewals coordination, Software Maintenance program coordination, and miscellaneous Client Contract related conclusions within the scope of the Contracts Specialist I specified duties.

Qualifications

EDUCATION:

Bachelor's Degree in Business Administration or related field.

EXPERIENCE

REQUIRED EXPERIENCE:

  • At least three (3) years of Contracts Administration experience in a corporate environment.

  • A working knowledge of legal concepts, concerns, and sensitivities as it relates to product, software, and services contracts

  • Excellent oral and written English communication skills

  • Ability to work in a fast paced, demanding, deadline-driven environment

  • Proven ability to manage multiple projects at one time

  • Self-motivated and able to work autonomously

  • Proven organizational skills with a strong attention to detail, and the ability to prioritize and work well in an environment with ongoing demands

  • Able to multi-task and interact effectively with senior customer business, contracting and legal personnel, subcontractors and internal staff

  • Exceptional customer service skills

  • Above average Internet savvy and Microsoft Office proficiency.

OTHER HELPFUL EDUCATION OR EXPERIENCE (NOT REQUIRED):

  • Previous work experience SalesForce.com or similar CRM database

  • Prior work experience with a global company in a contracts department

  • Paralegal experience a plus

PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to sit, use computers, read, write, type, use fax and copy machines, file paperwork, use telephones and utilize written and oral communication to interact with clients and co-workers.
