OBJECTIVES/PURPOSE:

  • The Contracts Coordinator is responsible for preparing and processing Purchase Orders for all U.S. Medical cost centers. This role serves as liaison between US Medical team members, corporate functions and suppliers to facilitate the timely processing of Purchase Orders, Statements of Work (SOWs) and Service Agreements including the screening of SOWs and other US Medical contracts for compliance with both Takeda legal and procurement standards. The Contracts Coordinator is responsible for ensuring new team members are trained on the US Medical purchase order processes and related systems. This role serves as the US Medical purchase order process expert and helps address US Medical team member's questions and the timely resolution of related issues.

ACCOUNTABILITIES :

  • Prepare and process Purchase Orders (shopping carts) for multiple cost centers within the US Medical U.S. business.

  • Liaison between US Medical Functions, Accounts Payable, Procurement, Legal, and external vendors to ensure Purchase Orders are opened and processed in a timely manner.

  • Expedite Purchase Order approval process by screening SOWs and other US Medical contracts for compliance with both Takeda legal and procurement standards.

  • Coordinate work flow between US Medical, Procurement, Legal, and external vendors to facilitate the creation and processing of Master Service Agreements and Statements of Work in a timely manner.

  • Obtain and prepare vendor information and proposals for submission to Legal Department for creation of Service Agreements. Set up new vendors when necessary and monitor the database for problems after vendors complete the registration. Ensures that confidentiality agreements and other key contractual elements are in place.

  • Maintain understanding of new Procurement/AP/Legal/Finance requirements for vendor and budget management.

  • May serve as primary owner of purchase orders or may support others in the management of purchase orders including confirming the phasing against the contract terms and making updates to accruals.

  • Investigates invoices if not in line with Purchase Order requirements.

  • Primary liaison between vendors, legal, budget holders and accounts payable to resolve any issues regarding contracts and payments.

  • Responsible for ensuring new team members are trained on the US Medical purchase order processes and related systems.

  • Serve as the US Medical purchase order process expert. Help address team member questions and support the timely resolution of related issues.

EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:

  • Minimum of an Associate's degree; or extensive work experience in budget management / accounting

  • Pharmaceutical / Medical Affairs experience preferred

  • Experience with financial databases and procurement systems including SAP, SRM and SMS

  • Proficient in Microsoft Office programs, especially Excel

As a Senior Manager working on the Medical Operations - US Medical team, you will be empowered to Provide direction, development, and oversight of critical day-to-day operational connectivity in leading, planning and execution of an aligned finance and contracting operations for US Medical activities through the cross-functional business processes. In this role, you will contribute to Takeda's mission by Interacting with the broader Takeda functions, US Medical unit teams, and US Medical Functional Leads in the achievement of key objectives and KPIs. A typical day will include: POSITION OBJECTIVES: * Provides direction, development, and oversight of critical day-to-day operational connectivity in leading, planning and execution of an aligned finance and contracting operations for US Medical activities through the cross-functional business processes. * Improves organizational performance by aligning people, processes and tools in support of business strategies by translating the broad strategic vision into the tactical details necessary to deliver US Medical financial results that are in support of the USBU financial goals. POSITION ACCOUNTABILITIES: * Provide oversight of contracting activities across US Medical to ensure operational excellence and efficiencies according to MRP. Partners with the Contract Coordinator to ensure process is efficient and effective. * Oversee process for HCP contracting including FMV analysis, and aggregate spend reporting. * Interact with the broader Takeda functions, US Medical unit teams, and US Medical Functional Leads in the achievement of key objectives and KPIs. * Helps manage strategic, financial, and operational planning, prepare and present presentation materials to senior leadership as necessary. * Plan, identify, develop and produce appropriate activities, tools and SOPs in collaboration with other Takeda and US Medical functions required to support the processes and effectiveness of operations. EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS: * 5+ years experience in at least two of the following cross-functional: operations, project management, purchasing, finance or legal. * Strong problem solving and process management skills. Ability to analyze process flows to identify gaps, risks and impediments and implement effective corrective action to increase efficiency and/or improve compliance. Able to communicate alternatives based on underlying drivers. * Business Process Optimization skills with a demonstrated track record of improving operational performance. * Transferable experience related to persuasion, negotiation, and influencing skill sets essential. * Operates effectively in a team setting as a leader, facilitator and team member. * A minimum of five years relative experience (preferably within Medical Affairs), focused on cross functional operations, process execution, financial management and contracting. * Strong interpersonal skills, organizational agility and political savvy that result in an ability to work cross functionally and lead matrix teams LICENSES/CERTIFICATIONS: * PMP Certification preferred TRAVEL REQUIREMENTS: * Up to 20 % both domestic travel required.
