Your day.

As a Contracts Coordinator you need to know how to:

  • Maintain, retrieve, and manage St. Vincent contracts in the contract management database

  • Prepare draft agreement and associated approval documents for St. Vincent Administrative review and approval

  • Send package of draft contract and supporting documents to SCL Health Legal Department, as required, for review and approval

  • Prepare signing copies and gather appropriate signatures

  • Maintain electronic contract management database and paper files on each contract to document background actions in processing the contract

  • Abstract contract data from contract management database

  • Prepare reports from the contract management database

  • Create data source from the contract management database for merged documents (i.e., contracts, correspondence, etc.)

  • Prepare cover letters and other correspondence related to contract maintenance or termination as needed

  • Coordinate the performance of the annual review of all contracts

  • Monitor suspense dates for contract renewals

  • Provide user-access setup, as required

  • Provide user training, as required

  • Assist with reviewing and monitoring payments to physicians

Your experience.

  • Minimum of two (2) years college experience, required

  • Paralegal experience, preferred

  • Knowledge and understanding of commonly-used contracting concepts, practices, and procedures, required

  • Previous contract administration experience, preferred

  • Expert user/experience in understanding and usage of computers as well as the ability to learn applications relevant to the position, required

  • Experience in the use of Meditract System, a contract management database, preferred

VIEW JOBS 3/18/2019 12:00:00 AM 2019-06-16T00:00 <strong>JOB SUMMARY</strong> <div>Under the supervision of the Program Director and in accordance with the direction and mission of District 7 HRDC, the Coordinator is delegated the responsibility for the day-to-day operations of the Child and Adult Care Food Program portion of the Child Care Program.</div> <div><br /> <strong>ESSENTIAL DUTIES</strong><br /> Management and Administration: <ul> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Submit a monthly expense report and budget comparison with each month’s claim for reimbursement using the State agency’s financial spreadsheet.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Collect data, tracks provider trainings, and completes reports as required.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Recruit providers to participate in the Child and Adult Care Food Program.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Monitors caseloads of homes.  Checks menu paperwork and completes home reviews.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Maintains direct interaction with State Monitors.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Makes clear and consistent decisions and takes appropriate actions in a timely manner.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">  Requires judgement calls and decisions needing to be made at the moment non-compliance is observed during monitoring reviews.</li> </ul> <strong>Operations:</strong> <ul> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ensure effective operation of program contract requirements, and state and federal regulations are met.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Verify CACFP eligibility and reviews both registration and tier status updates to meet program guidelines.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Conduct on-site monitoring reviews at a minimum of three times per year for each provider to ensure providers are serving children nutritious meals and snacks, and complying with program rules and regulations.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Communicate closely with child care providers to inform them of the nutritional values of meals and snacks; providing ideas in developing meal plans.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Train child care providers to implement the CACFP Program, including policy changes, nutrition and regulatory aspects.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ensure changes on applications, registrations, mealtimes and overlap are accurately input into the Minute Menu Claim System (MMS).</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Process child care provider claims and manually verify attendance on scanned menu forms submitted by the providers.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Facilitate training classes for providers on regulatory and nutrition topics.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ensure all providers attend required training sessions and addressed deficiencies.</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Inform Licensor if providers are in violation of licensing requirement, such as over the number of allowable children, and/or signs of abuse or neglect are observed or suspected.</li> <li style="padding: 0;
