Robert Half Legal is seeking an experienced contracts administrator with 2-5 years of experience to join our consultant group. This is not a temporary assignment. This is a permanent, direct-hire opportunity. Responsibilities for this role will include: preparing, examining, analyzing, and revising contracts that involve the purchase or sale of goods or services such as equipment, materials, supplies, or products. As a Contracts Administrator you may:

  • Oversee the preparation and revision of contracts that involve the purchase of sale of goods and services.

  • Oversee proposal planning and administration of contracts.

  • Negotiate terms and conditions.

  • Prepare contract briefs and revisions summarizing contractual requirements and budgets.

  • Track authorizations and correspondence.

  • Maintain detailed and organized files.

  • Prepare contract change notices, monitor contractor performance, including the reporting and status of contractor and owner deliverables.

  • Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules.

  • Prepare and disseminate information to appropriate employees regarding contract status, facilitate contractor meetings.

  • Ensure that contractor is in compliance with legal requirements, owner specifications and government regulations.

  • Perform closing activities as needed.

  • Track payments and deadlines.

  • Analyze and mitigate risk.

  • Provide contract summaries and ensure contract execution in accordance with company policy. This role is an excellent opportunity for an enterprising contracts administrator. A Repossession Support Administrator completes administrative tasks to support Galleria Servicing Center and Backend Servicing, including, but not limited to: * Coaching Repossession Contractors on service level expectations for invoicing and transporting vehicles after Repossession; * Facilitate posting of Repossession expense corrections identified in exception reports or by team members; and * Gathering information to update systems related to the vehicle or service provider Outcomes & Activities: * Communicate with Repossession Contractors and Auctions by email and phone about: * Vehicles that are not timely delivered to the Auction * Invoices that require correction or are not timely submitted * Repossession Contractor License, Insurance and Bond renewals * Updates to Repossession Contractor profile information (# of Trucks, # of drivers, rates, site inspection date, updated zip codes, etc.) * Update accounts with information related to repossession notification, the location of the vehicle post repossession, the reported police department location * Answer phone calls from Auctions, Repossession Contractors, and other Credit Acceptance departments * Audit batch invoice files from Repossession Contractors and Auctions to ensure invoices are timely paid and reflect contracted and pre-approved rates * Review Repossession Contractor and Auction expense reporting to identify account corrections needed and submit correction requests to be processed * Review documents received and data enter the information into various systems and ensure that they are imaged and processed timely * Abandoned vehicle notices and Repossession redemption releases * Assist with providing administrative support to the Front Desk/Reception area when needed * Provide exceptional customer service to internal and external customers * Manage the Front Desk/Reception area by greeting guests, notifying appropriate parties of arrivals * Coordinate the receipt of incoming/outgoing packages, faxes and mail * Maintain supply inventory for break room and copy center * Coordinate interview schedules and provide overall support for recruitment process including onsite interviews * Complete miscellaneous administrative tasks as assigned to support the Galleria Servicing Center and Backend Loan Servicing * Remain compliant with our policies, processes and legal guidelines Requirements: Required: * Previous customer service, collections or service provider management experience * Proficient in Microsoft Office applications (Microsoft Outlook, Word, and Excel) * Attendance as outlined in the department attendance policy * Work onsite at the assigned Credit Acceptance work location Preferred: * Excellent customer service, problem solving, and organizational skills * Experience with investigating or handling Service Provider and/or Customer complaints * Experience supporting multiple departments in a fast paced environment * Experience in the finance or automotive industry Knowledge and Skills: * Ability to prioritize, multitask and execute tasks in fast paced environment * Flexible - can adjust to rapidly changing business environment * Understand, interpret, document and record data/ observations clearly * Strong written and verbal communication skills; speak in an assertive manner when appropriate * Take ownership of issues to resolution * Organized with the ability to multitask Company Values: To be successful in this role, Team Members need to demonstrate the characteristics of PRIDE (our Company core values) in their work: * Positive: Maintain a positive attitude, focus on solutions (not just on pointing out problems), and promote a collaborative environment that is enjoyable for coworkers * Respectful: Value teamwork and embrace helping others, share credit and appreciate the work of others, communicate openly with language that promotes trust, actively listen, and be receptive to feedback * Insightful: Make timely, well considered decisions, create innovative solutions and diligently accumulate company, industry, and business knowledge * Direct: Communicate in a clear, fact-based manner, don't be afraid of difficult conversations, and raise concerns and provide feedback through the proper channels * Earnest: Be honest, sincere and match words with actions, work hard and strive to continuously improve, and pursue Company goals relentlessly Targeted Compensation: $15.00/hour Required degrees must have been earned at institutions of Higher Education which are accredited by the Council for Higher Education Accreditation or equivalent.
